Action Items for IntelliApp

Action Items is utilized by the user to see all outstanding actions in the IntelliApp database for all groups and practitioners.

Users can get to Action Items by clicking on the Actions Icon in the Main Menu .

Application Status TabThe Application Status Tab will show all incomplete Actions that are associated with Applications/forms in your system. The bar graph shows how many of the specific Action Types are outstanding. Users can double click on any of the red bar graphs to be brought to the Application Status tab and a listing of the specific action types.

The Application Status Tab will show all Groups and all Applications over in the left side of the window. The right will show the actions that are incomplete based on the bar graph chosen. The Filter utilized will be shown in red at the bottom of the window.

Users can modify what is seen on Application Status by clicking on the Quick Filter dropdown and selecting an additional filter or select the No Filter Selected option. When no filter is selected, the system will retrieve all incomplete actions.

If the user would like to include completed actions, they may click on the checkbox Include Completed Actions at the top of the Application Status window. If the user would rather see the information in a report for, they may click on the report tab.

Reports can also be Grouped By Practitioner, Group or Payor.

The tree view on the left side of the Application Status tab can be utilized to narrow the search results to just the incomplete actions for one application or one Facility/Group.

Additional Filters can be imposed by utilizing the Filter Icon in the main menu . Filter allows the user to select multiple criteria to generate results.

For Example: All Participate Action Types that the Action Status is complete:

Which will show a list of all Providers and who they are Participating with as far as Provider Enrollment or Facility Enrollment.

Reports that are generated can be printed by clicking on the Print Report Icon in the main menu. They can also be exported by clicking on the export button in the right corner of the Application Status tab.

Expiring Credentials Tab

If the user clicks on the Analysis tab in Action Items, it will bring them back to the Main Bar Graph. From this window they can click on the Expiring Credentials Tab, which will show a Bar Graph of all expired credentials and credentials that may be due to expire.

Users can double click on any one of these bar graphs and that will bring them to the Action Item Details Tab, where they can see action items that delineate what credential is expiring and for whom.

The Action Item is the rectangular box and designates what screen the expiring credential is coming from on the left side. It will show, in the middle, the practitioner’s name and the reference information from the screen.

The action that is listed will be Exp Cred Ltr, which designates that the letter has been queued for printing.

Users can generate the Expiring Credentialing letters by clicking on the Letters icon in the main

menu .

The user will have the choice of what letters they would like to generate, which includes printing letters for specific records or they may choose to print the Combined Expiring Credential Letter, which will combine multiple expiring credentials into the one letter.

The Process Method Ability Filter will allow the user to see if the letters that are queued meet all the criteria for that process. Essentially it will check to make sure that the provider has an expiring cred Adddress, email address associated with the Expiring Cred address type and/or Fax number associated with the Expiring Cred Address Type.

View Details will allow the user to see the data detail for each expiring credential in the letter list. To Print/Email/Fax the letter the user will click on one of the three process buttons available. The letter will open in Microsoft Word, often times it will open then minimize, so users should find the Word Icon on their task list to open the letter.

Exercises

Application Action ItemsYou have the ability to view all incomplete actions for all providers in the system at once.

1. In the Menu Bar, click on the Actions Icon.2. This brings you to the Analysis Tab (at the top), click on the Application Status

Tab.3. In the upper left side of the screen choose “All” (this will return all facilities in

which you are tracking applications)4. On the right you will see all of the Incomplete Action Items for each practitioner in

the database.

Batch Update Application Action Items

1. Click on the Filter Icon .2. In the Filter Ruler, Choose App Rcvd Prac from the Action Item dropdown.3. Choose Incomplete from the Action Status in the ruler.

4. Click the Apply Filter button.5. Click the Close button in the filter.

6. Select two of the related Actions by placing a checkmark in the select box.

7. Click the Batch Update Icon .

8. Click on the Action Status dropdown and choose Complete.9. Click the Update button.

Using Action Items to View and Print Expiring Credential Letters

1. Click on the to return to the main view. 2. Click on the Expiring Credentials sub-tab. 3. Double-Click on any of the bar graphs. 4. Review the list of Expiring Credentials. In the Menu bar, click the Icon. 5. When the Print Letters window appears, click on the button:

6. Review each letter and close Microsoft word.7. When asked if the letters printed okay, click Yes. 8. Click Continue.9. Close the print window.

Using Action Items to Update Expiring Credentials1. While still in the expiring credentials area, in the Select Filter drop down, choose

“Expiration Letters awaiting Reponse”.2. Locate an Expiring item (any provider).3. Click on the detail sub tab at the top of the Action window.

4. Update the Expiration Date field with a date in the future.5. In the Menu Bar, click the Save icon.6. When the Connected Verification Update box appears put a checkmark in the

select box next to each facility.7. In the Response Code field choose a response code from the drop down (the

reason why you updated the expiration date).

8. Click the Update button. This will complete the action and update the data screen for that practitioner.

Generate Missing Checklist letters 1. Click on the to return to the main view.

2. Click on the sub tab.3. Double click on the red bar graph.4. Review the list of missing information items.

5. In the Menu Bar, click the icon. 6. Review the letters and close Microsoft Word.7. When asked if letter printed OK, click Yes. 8. Click Continue.

Batch Update Checklist items 1. Click the Deselect all button at the bottom of the window.2. Place a checkmark in the first three items.

3. In the Button Bar, click the button.

1. In the Status dropdown, choose Satisfactory. The date received will automatically fill in with today’s date.

2. Click the Update button.3. Click yes to complete the update.4. Close out of the Action Items window.

Extra Exercises

Inactivating a Practitioner1. On the Search Tab, select a provider to inactivate. Move to the provider’s

Applications Tab.2. Change the Record Status field to Inactive.3. In the button bar, click the Save button.4. Click the Search Tab. Change the Active and Pending drop down to “Inactive

inactive”. 5. Click the Search button. 6. Inactive practitioners will show in gray.

NOTE: Making a practitioner Inactive turns off all of the actions for the practitioner. The system will no longer be tracking expirables or applications for this practitioner. However, the data will still be housed in the database and users can “Re-Activate” the practitioner anytime.

Deleting a Practitioner1. On to the Search Tab, choose a provider to delete.2. Move to the Applications Tab.3. Change the Record Status to Purge. **4. In the button bar, click the Save button. 5. Click the Search Tab and refresh your search by clicking on the Search button.

Your doctor will no longer appear.6. Go To the System Menu, select Delete Practitioner.7. When the search window opens, click the search button, this search is only for

Purged records. 8. When the doctor you deleted comes into the browse double click on their name. 9. When the Delete message appears, click yes.

10.When the “Are You Sure” message appears, click Yes.

11.Click OK to confirm.

**NOTE: Setting the practitioner to Purge will set the practitioner up to be deleted from the database. There is no way to undo a Purge status!! The default in your live database limits the ability to purge. Administrators can modify this in the Role Set up under the Practitioner Folder Section, Appointment and checking the Access to Purge.

Setting Practitioner FlagsYou can easily assign flags to practitioners to designate at a glance status on the search tab.

1. Click on the Provider icon. 2. Select a provider.3. Click on the Applications tab.4. In the second drop down in the record status area, choose Red Flag.5. Click the Save button.6. Click the Search Tab and review the selected provider now has a red flag next to

their name.
