The City’s Department of Atlanta

Information Management (AIM)

Enterprise IT Governance Program

has a primary objective of partnering

with stakeholders from across the

city to ensure good stewardship of

the technology investments.

CIO Samir Saini continues to work

with COO Dan Gordon and his top

staff to ensure we methodically

review our technology investments

and projects with our business

partners across multiple Service

Delivery Areas (SDA).

The Enterprise Project Governance Board (EPG) is the executive managing board for all IT investment. Participants include Senior Executives and departmental Commissioners. This board manages risks/issues of top COO/Mayoral technology initiatives. The board is chaired by the COO with AIM DCIO’s and Program Directors as presenters. EPG takes place every 4th Thursday of the month. Our SDA’s are Public Safety and

Justice Services (PSJ), City

Administrative Services (CAS), City

Operations Services (COS), AIM

Centralized Services (ACS), and

Watershed Management Services

(WMS). They serve as a conduit for

improved relationships with the

business and IT as managed by our

Deputy CIO's and Program Directors

for each of the respective SDA.

Each SDA holds a monthly Project

Review Board (PRB) meeting to

review key business projects. The

Commissioners or their designee of

the respective SDA and AIM DCIOs,

serve on each of the project review

boards to make decisions regarding

projects in their portfolio. The PRB’s

give visibility to Enterprise project’s

risk, issues and overall health. It also

informs departments of city-wide IT

solutions and is where approval of

new projects occur. Department

representatives are encouraged to

attend.

PRB meetings occur on the 3rd

Thursday of the month.

There is also an Architecture Review

Board (ARB) which serves as an IT

governance function to assure the

technical design, build, or purchase of

IT solutions is aligned with City of

Atlanta’s Enterprise Architecture or

Technology “Blueprint.” The board

is chaired by AIM’s Chief Technology

Officer, Jason Watkins and includes

the IT Steering Committee Chairs

from the organization’s 6 primary IT

steering committees.

ARB meetings are held on the 2nd and

4th Tuesdays of each month. With our

continued maturity, the meeting

cadence may change soon. Dates will

be provided by our Enterprise Project

Management Office and it’s DCIO

JIRA is a web-based project management tool that will allow an agile approach to

successfully complete projects. Currently, the EPMO is piloting this tool with various project teams. JIRA is coming to give our

business a lean approach to project delivery.

With FLAGPOLE, customers can now easily submit project idea requests, track the

project readiness scoring, strategic alignment, and track approval status in one web-based location. FLAGPOLE users will have more visibility into the full portfolio of

all project ideas and review up to the moment status of their submittals.

Quality Control = Best Results! STAGETRAK

is a customized business process workflow engine that will allow the EPMO to specify

deliverables from project teams. The deliverables are based on standard project

documents as well as a unique set of analysis questions that ensure standardized delivery

based on established best practices.

So, what does it mean for you? With JIRA, that means having access to a

tool that will support projects that may not fit the waterfall methodology. It also means

having easy-visibility to real-time information.

For you, FLAGPOLE & STAGETRAK will

improve communication and coordination within the organization. It will also decrease project failures and increase project success

rates!

Be the Glue!

I remember my first meeting with CIO Saini probably 60 days into his start with DIT (before AIM rebranding). We were scheduled to meet for 15 minutes in his office to discuss the recent resignation of the former EPMO Director. He welcomed me in and began sharing his immediate need for the EPMO and he asked me a question that I will never forget “Can You Be the Glue?” He then followed up with a statement “I need you to be the glue.” My immediate response was “Yes, I can.”

As I embarked upon this new opportunity to lead at another level, my mind began to think about my past successes and failures. “What would I do differently and how could I make the greatest impact?” These are the questions I posed to myself. Although CIO Saini’s initial request was temporary/trial-like in his ask, I knew that in order to prove my value and to assure him that I could be the glue, I had to be the glue that really STICKS!

Glue (by design) is an adhesive that stabilizes, bonds, strengthens, repairs, stains and sometimes absolves. We usually look for glue when we want to build and construct when we need to hold things together that are coming apart or perhaps some things that just need a little TLC.

Eighteen months later as I look back at the beginning of this journey, I am pleased with the goals that have been accomplished and confident that my work is not finished. We are further along than we were in November 2014. We are made to STICK!

How do we achieve the glue effect in our daily lives?

Stick-to-itiveness (Yes, I made this up)-

No Quitting!! The ability to stay the course to stand during adversity and change;

Trust-trust the process if you built it,

trust it; if you did not build it and it works, trust it;

Inspire and Influence-use your influence

to inspire others to do great work; look for inspiration in every daily encounter- if you search for it, you will find it.

Courage-take courage and care in your

daily tasks. It takes courage to accept more responsibility, to be vulnerable as a leader, to challenge the process, to break a rule, to make hard decisions, to tell the truth, but we must take Courage;

Kindness-show kindness to others; your

respect, kindness and appreciation for others will take you further than your credentials can support you.

Share-share your knowledge,

experiences, and resources to make your team the best that it can be. Don't take it with you, leave a deposit!

Crystal Wilborn, PMP

Crystal Wilborn, pictured above with Roger Campbell, AIM Performance & Metrics Manager conducted a 5-day PMP boot camp for AIM. Crystal taught Project Management courses at Kennesaw State College in partnership with the Edge Connection under Wiser Generations International, (WGI). She is a veteran of the United States Army and launched her woman-owned minority business in 2007. In 2009, she launched into corporate training of PMP® Exam Prep and Franklin Covey Courses. Currently, WGI has a 98% first-time pass rate with her PMP® Exam Prep students.
