1 Introduction

This handbook should be read in conjunction with either the Baptist Football Queensland (BFQ) Manager’s Handbook, or the Qld Churches Soccer Association (QCSA) Handbook. The Association handbooks provide detailed information concerning Policies, Procedures and Rules affecting participation in the BFQ / QCSA competitions that we are a part of. Both Associations update and issue annually new versions no later than February.

It is intended the RBFC handbook resource helps our volunteers in their responsibilities. Feedback on improvements is welcomed. Thank you for being involved in serving our God through this ministry.

1.1 Mission

Riverlife Baptist FC (RBFC) is a ministry of Riverlife Baptist Church (RBC). We desire that women and men whilst training for and playing football, the best game, learn to more effectively live the full life that God intends.

1.2 Aims and Objectives

1. To honour God by our words and actions

2. To honour excellence – being the very best in all we do in football

3. To encourage women and men to develop their relationship with God

4. To have fun and improve fitness

1.3 Our Charter

On 17/09/2012, in partnership with our church leadership, especially the Church Administrator, we adopted a Charter. The Charter effectively describes our ‘rules’ of operation.

1.4 BFQ Competition http://www.bfq.org.au/

RBFC choses to predominantly play in the BFQ competition as it is currently more distinctly Christian in ethos and practice than some other options.

The BFQ pre-season competition and the first few weeks of the regular season guide the BFQ in determining the composition of the Divisions. There are usually 18 weeks of play and 4 weeks of finals. There are can be up to 6 divisions of men’s play in the BFQ, division 6 being of a significantly lower standard than division 1. We need to select teams with players of similar ability to ensure the integrity of the competition. (NB The BFQ pre-season competition and the first few weeks of the regular season guide the BFQ in determining the teams that belong to each Division.)

1.5 QCSA Competition http://www.qcsa.org.au/

RBFC has dual registration so enabling participation in an over 30’s competition run by Qld Churches Soccer Association.

Preseason can be four weeks and there are 18 rounds of competition, prior to the commencement of finals. Finals are for the top 4 teams so 3 weeks of finals is possible, the grand final being on the same day as BFQ – the Friday evening / Saturday before the September school holidays.

1.6 Note about options for Women’s teams

In the BFQ and QCSA Competitions, there have been no more than 2 divisions of women’s play. In the past RBFC has had fielded two teams playing division 1 so team selection processes have been different.

2.4 Position Descriptions

2.4.1 Duty of Care

We have a duty to care for younger players, who are part of the Club, particularly those under 18. Executive members, and Coaches or Managers with players under 18 in their team, need (by law) to have a current Blue Card before they can be involved. Further these people must keep our church advised of their continuing compliance. The church will assist in lodging the required paperwork. A register of all volunteers with Blue Cards is kept by our church as part of the church’s moral and legal obligations.

2.4.2 Executive

Positions of Responsibility

RBC requires the first two positions (President & V President) be filled by Christians (not necessarily from RBC) and approved by the RBC leadership team. Ideally all positions are filled by people who love God and his people. Coaches and Managers are usually appointed by the President & V President.

Finance Officer (FO)

With support from RBC admin staff, the FO is responsible for ensuring financially viable operations. This includes administering a budget. It involves establishing costs for use of training and playing fields (in consultation with the Facilities Coordinator), collecting debts from players and groups using our fields - in a responsible and sensitive manner, ensuring all accounts paid in a timely manner, ensuring team registration payments are forwarded at the correct time

Other Key Positions of Responsibility

Facilities – responsible for oversight of grounds their upkeep and development for training and for play

Equipment – responsible for purchase and encouraging care of equipment (jerseys, balls, water bottles, first aid, other training equipment), keeps annual inventory making purchases as required and budgeted funds allow

Presentation night Coordination – venue selection, menu selection, program development & implementation oversight

BFQ meeting representative – attends Association meetings, representing club

RBC Pastoral Support – member of RBC leadership team who (1) offers encouragement and prayer support to the leadership of RBFC, (2) is available as a reference and support person for any club member faced with a crisis and (3) advocates for RBFC to the church leadership,

RBC Admin support – providing administrative support with finances and communications.

2.4.3 Coaches, Managers and Captains

Coaches – have a pastoral concern for the welfare of the team – encouraging players in their walk with God; are good communicators; have a commitment to develop individual and team football skills.

Managers – support the coach; collate player information and communicate regularly with registrar and BFQ registrar; keep team informed of team and Club activities; attend to routine matters each game day (fee payment, completing match card); encouraging players in their journey with God.

Captains – support the Coach and Manager; encourage all team mates; and lead by example.

3.2 Club Fees

Fees are set annually usually in January. All personnel in the club are asked to assist in encouraging players to make prompt payment. Payment needs to be made electronically. This will ensure we remain financial and also assist our Treasurer in monitoring funds.

Fees cover costs of field maintenance, lights, equipment, playing strips, insurance, association costs and referees.

Payment Terms are as follows.

• A minimum of $100 is required with your application.

• Full fees are $360 and must be completed as soon as possible.

• A $50 discount applies if full fees are paid by 31st March 2018 (last Tuesday of March).

• Full fees are due by the end of April; else a place in the team may be forfeited.

If paying full fees by this date, presents a problem, please talk to the President or Treasurer to arrange a payment plan.

Casual players MUST register before they play a game, mainly for insurance reasons, and are required to pay an initial $80 for the first three games. A further $80 will cover an additional 3 games.

Part season rates are possible. Please talk to the President or Treasurer if this is for you..

Players need their own socks and shorts from a sports store. You can expect to pay $15 for Socks (dark blue - navy), and $15 for Shorts (dark blue -navy) and $20 for a travel shirt.

3.3 Making Payment of Fees

The principle payment method is when you register electronically through the RBC website and use the shopping cart. This is the simplest and best method.

Bank transfers are possible but not definitely NOT preferred.

Deposits for RBFC can only be identified if the reference field is completed with the following:

RBFC Surname First Initial”. For example: RBFC ThompsonM

If this reference is not used your deposit will not be able to be identified.

4 Club Str ip and Equipment

4.1 Club Strip

The base colours of the Club are Navy with White.

Two strips are available for the Women’s teams:

• a strip that is predominantly blue; and

• a strip that is predominantly white.

Several different strips exist for the Men’s teams (This enables an alternate strip should there be a clash with an opposing team). Strips include one of the following colour combinations:

• blue & white;

• blue; and

• white.

There is an gold/ orange strip for teams playing at night.

Teams usually play with dark blue shorts and blue socks. Limited supplies of socks and shorts are available from the club for purchase only at the start of the season. A range of sports stores provide the standard required.

All players are required to wear shin pads for games and training. This is a safety issue.

4.2 Equipment Provided to each Team

Each team is provided with:

✓ a set of team jerseys

✓ a set of water bottles

✓ a first aid kit

✓ an esky

✓ at least one bag of balls, including a match ball

✓ a set of training vests and some other basic training equipment.

Most equipment can be stored at the club house but needs to be returned in a good condition and stored ready for efficient use. If any items become unsafe to use or ineffective to use, please advise the Facilities Officer promptly then dispose of the failed equipment.

The jerseys and bottles are usually issued to the Manager and the other gear to the Coach.

It is usual that a roster involving players from the team is created (or a system of volunteering is arranged) to ensure that team jerseys and water bottles are cleaned weekly.

The coach and manager need to ensure that all equipment is cleaned and returned at the end of the season, bringing any deficiencies to the attention of the Facilities Officer.

5 Coaches and M anagers D uties

5.1 Season Commencement

Each of our Coaches needs to select their team, organizing activities in partnership with other coaches to achieve selection.

While being mindful of friendships, team selections need to ensure the integrity of the completion. The best players should be in team playing in the highest division: team number 1.

The Coach (and/or Manager) needs to keep the Administrator and Treasurer informed of team selections so that player registration and fees collection files are kept in order. In the early part of the season this needs to be a weekly task.

For BFQ teams: The Coach / Manager needs to initiate registration then maintain the BFQ team web link https://portal.bfq.org.au/Account/Login.aspx?ReturnUrl=%2f A username and password needs to be applied for on-line to BFQ.

For QCSA teams: The Coach / Manager needs to initiate registration then maintain the BFQ team web link http://qcsaRBFC.myclubmate.com/mydetails A username and password needs to be applied for on line. For QCSA players are to register personally and the coach manager then can validate the application.

5.2 Weekly Tasks

For teams in the BFQ competition: Subsequent to the start of the season, the Coach / Manager needs to initiate / update the BFQ team registration weblink. The weblink enables the Manager / Coach to create the weekly team sheet, which is to be presented to the referees prior to the game. No more than 5 players can be listed.

The weblink needs to be updated weekly as new players are added. This process helps ensure teas are doing the right thing by player registration and reduces the chances of teams improperly using players for games. Registration for BFQ teams are initially completed by the RBFC Administrator.

For teams in QCSA: The manager needs to create a weekly match card from the webpage with no more than 16 players being listed on the card for a game. Further, the match card must be completed accurately for each game and each team will be required to have a vested official. Ensuring the accurate completion of the match card, having a vested official and submitting the score is the manager’s responsibility. Post the game the manager will be required to submit scores on a weekly basis to the QCSA match card officer. Failure to follow these actions results in fines and potential loss of points.

General Info for Managers

Each team Manager usually creates a roster for team members to wash the jerseys each week. A different player is selected to wash the drink bottles. The Manager ensures collection of referee fees from the Treasurer and provides this to the referee just before the game. The Manager also ensures a match card is prepared for their team and presented to the Referee before the game. The Manger needs to get each players to sign the “match card”. For BFQ teams: the ‘card’ is created from the BFQ web link template referred to in Section 5.1. For QCSA teams a blank form exists.

In the BFQ competition the Manager pays the referee and lineman at the ground before the start of the game. The treasurer of our club provides the Manager the fees at a training night, usually every fortnight. In the QCSA competition the club is invoiced fortnightly.

The Manager assists in ensuring all players have paid fees that any money collected is handed to the club Treasurer or Church Office (clearly labelled) and that players are attired properly for games. This may mean securing some club supplies and providing them for sale on game day. The Manager also assists in coordinating and promoting team and club social events.

The Manager will be provided a receipt book by the club Treasurer and some extra Club player and BFQ team registration forms for the occasions when extra players turn up (are required) on a Saturday. These extra forms when completed need to be returned promptly to the Administrator for and money collected given to the Treasurer/ Church Office. The new player details must be registered on the weblink with 48 hours of a player taking the fields.

The Coach organizes the team selection and training. She / He needs to advise players of game details and select the team for game day. The Coach needs to encourage good play and attitudes and correct poor play and attitudes. The Coach needs to exercise control when bad decisions occur and take up matters of concern on the team’s behalf, in the appropriate way. The Coach usually introduces himself / herself to the referee and identifies the captain. The Coach ensures players leave and enter the field of play as required by the referee. The Coach needs to have training and match balls ready for use and usually organizes a pre-match routine.

All players, with guidance from the Coach and Manager, are expected to help with team set up / pull down of nets and posts (depending on game scheduling time). This includes attending to ensuring the area is left clean. When a game is scheduled at our ‘home’, teams are also responsible to ensure club toilets are clean and that on departure things are left tidy and locked.

Each team member is also rostered on to assist with line marking and keeping the facilities clean. This usually means 2 x 1hr contributions through the season.

At the Annual Awards presentation, two awards per team are provided. The usual categories awarded are Most Valuable Player and either Most Consistent or Most Improved. This decision is made at the club executive level in consultation with the coaches.

Individual awards can be a trophy, plaque or sports gift voucher (preferred by most players). Each team is usually presented with a team photo, organised by the team manager.

Each new player to the club is also gifted a Bible.

Categories of Club Awards

Most Valuable Player - MVP

This award acknowledges the player who consistently makes a difference on the field. This player also shows dedication to attending training. She / he is a role model to other players on and off the field. She / he demonstrates Christian values and is a great encourager and a most valued team member. Teams may be invited to nominate their choice for this award, with coaches having the final decision. When teams have the input this award can also be declared the Player/ Player Award.

Best & Fairest - Standout player that also exhibits exemplary respect to their team mates, officials and opposing players

Players Player - The standout player that the rest of the team want to play with and leads by example

Coaches Award - The player that demonstrates the greatest commitment to training, their effort on the field and to their team mates and the club

In exceptional circumstances, the following award is also presented.

Club Player of the Year

This is the supreme club award. Coaches are invited to nominate candidates to the Club Executive for consideration. This award recognizes an outstanding person for the way they conduct themselves. The criteria for this award when provided includes:

1. Is of a Godly character 2. Is a great encourager 3. Always tries to give of their best 4. Thinks of, and acts for, the welfare of others 5. Has a wider perspective than just their team


Recommended
