1 Use

This document describes the general steps required to configure the data in a system landscape that has already been installed.

The Configuration Guide contains the information you need to configure a Building Block manually, without using automated configuration tools such as BC Sets or CATT procedures.

2 Preparation

2.1 Prerequisites

If you want to use this building block, you must first install the following building blocks:

Layer 0 All layer 0 building blocks

To install the ‘Asset Management MY’ Building Block, you must have installed the ‘Layer 0 FI MY’ Building Block. This is particularly important for the setting that was made with reference to the chart of accounts being used, BPCA.

If you wish to use the functions for direct capitalization and for posting cost-accounting depreciation, you must also install the „Standard Cost and Profit Center Accounting MY’ Building Block.

3 Basic Settings

3.1 Chart of Depreciation

Use

A chart of depreciation is a directory of depreciation areas arranged according to business requirements. Each chart of depreciation contains the rules for the evaluation of assets that are valid in a specific country or economic area.

Each company code defined in Asset Accounting must refer to a chart of depreciation.

3.1.1 Copy Reference Chart of Depreciation

Use

SAP provides country-specific charts of depreciation with predefined depreciation areas. These charts of depreciation are only references for customer charts of depreciation and therefore cannot be used directly. When you create your own chart of depreciation, you must copy a reference chart of depreciation.

When you create a chart of depreciation, the system copies all the depreciation areas from the standard chart of depreciation that you use as a reference. You must delete any depreciation areas you do not need from your chart of depreciation.

The chart of depreciation BP01 has been created as a copy of the chart of depreciation 0MY.

Procedure

3.1.2 Define Chart of Depreciation and Depreciation Areas

Use

You can change the definition of the depreciation areas that were copied from the standard depreciation plan, and add additional depreciation areas if required.

The following depreciation area has been defined in the chart of depreciation BP01:

2. In the Chart of Depreciation Selection dialog box, make the following entries.

3.1.3 Assign Chart of Depreciation to Company Code

Use

When you assign a chart of depreciation, you define a company code for Asset Accounting. The chart of depreciation BP01 has been assigned to the company code BP01.

Prerequisites

The company code has been defined in Financial Accounting.

Procedure

3.2 Asset Classes

Use

Asset classes are the most important structuring elements for fixed assets. You can define any number of asset classes in the system. You can use them to structure your fixed assets according to different criteria. Asset classes are defined for all clients.

3.2.1 Specify Account Determination

Use

The most important function of an asset class is to link asset master records to their respective general ledger accounts in Financial Accounting. This link is created by the account determination key in each asset class. You can assign several asset classes to the same account determination key.

The following settings for account determination have been created for company code BP01:

3.2.2 Create Screen Layout Rules

Use

The asset master record in the SAP FI-AA System contains a large number of fields because it is used for many different purposes. To make it easier to maintain master data, you can adapt the asset master record to suit your own needs.

The following screen layout rules have been created:

3.2.3 Number Assignment Across Company Codes

Use

In the FI-AA System, the main asset number can be assigned on a cross-company code basis. This is why you can specify, for each company code, which (different) company code is to be used for number assignment.

The function for assigning numbers on a cross-company code basis has not been activated for the company code BP01.

3.2.4 Define Number Range Interval

Use

An asset number uniquely identifies an asset. It always consists of a main asset number and an asset subnumber. Numbers can be assigned in the system externally or internally.

With external number assignment, the user is responsible for assigning the numbers. The system displays only the defined number range interval and issues an error message if a number has already been assigned. With internal number assignment, the system assigns numbers sequentially.

3.2.5 Define Asset Classes

Use

From an accounting point of view, the asset class is the most important element for structuring fixed assets. Each asset must be assigned to one asset class only. The asset class assigns the assets and their business transactions to the appropriate general ledger accounts. Several asset classes can be assigned to the same account. This makes it possible for fixed assets to be structured in more detail at asset class level. Such detailed structuring is not necessary at general ledger account level. It is also possible to define the screen layout, tab layout, and asset number assignment for each class.

The following asset classes have been created in the system:

Since the number of asset classes and the way they are structured varies from customer to customer, only a small number of asset classes has been created in the system to serve as examples. At least one asset class has been created for each asset account in the general ledger. Some asset classes refer to the same general ledger account.

3.2.6 Assign History Form to Asset Class

Use

When the historical management function is active (Manage Historically indicator), you can print an asset chart. The Manage Historically indicator has been set for all asset classes.

For each asset class, you can define a separate form for the asset history. The standard SAP form FIAA_F001 has been assigned to the example asset classes.

3.3 Depreciation Areas

Use

A depreciation area is used to valuate fixed assets with regard to specific legal regulations or business objectives.

3.3.1 Define Depreciation Areas

Use

The depreciation areas in the chart of depreciation BP01 have the following functions:

Book Depreciation (01)

This area is the master area. Transactions for this depreciation area are posted directly to the general ledger and Controlling.

Tax Depreciation (15)

This area is for tax requirements. Transactions for this deprecitaionarea are not posted to the general ledger

3.3.2 Define Area Type

Use

Depreciation areas are assigned to a type, which describes the primary purpose of the depreciation area. When you create a chart of depreciation, the system copies the type from the reference chart of depreciation. For example, area 01 is assigned to the „Book Depreciation‟ type.

3.3.3 Specify Transfer of APC Values

Use

In this step, you define transfer rules for the acquisition values of depreciation areas. These transfer rules ensure that certain depreciation areas manage identical acquisition values.

For the chart of depreciation BP01, since there are 2 depreciation area, there is two entry in the table V_T093A_03.

3.3.4 Specify Transfer of Depreciation Terms

Use

In this step, you define transfer rules for the depreciation terms. You cannot define any depreciation terms in the asset master record for the depreciation areas to which the depreciation terms are being transferred. This ensures that the value of the depreciation areas is reduced uniformly.

For the chart of depreciation BP01, there is one entry for the depreciation area 01 and one entry for depreciation are 15.

Use

You can specify how net book values at year end, depreciation, and replacement values are to be rounded. You make the specifications for each depreciation area and company code.

3.3.6 Define Depreciation Areas for Foreign Currencies

Use

In Asset Accounting, you can manage depreciation areas in any currency. You can use the values from these areas for consolidation and evaluation purposes.

No foreign currency has been defined for company code BP01. The depreciation area 01 and area 15 is managed in MYR.

4.1 Assets

4.1.1 Define Screen Layout for Asset Master Data

Use

In order to meet the needs of its many functions, the asset master record contains a large number of fields. To make master data maintenance nonetheless as simple and efficient as possible, the system enables you to design the asset master record to best suit your needs.

Screen layout rules Z100 to Z410 have been created and assigned to the asset classes. In all screen layout rules, the fields “Description 1” and “Cost Center” have been defined as required entry fields.

If no data transfer is carried out during the fiscal year, the current fiscal year first has to be opened using the “Carry Out Fiscal Year Change” function before the data transfer is carried out.

5.2.4 Maintain Number Ranges for Documents for Line Item Settlement

Every settlement in cost accounting has to be uniquely identified in the system. The system makes this identification by storing a settlement document under a separate number for each settlement that takes place. The system also creates a CO settlement document for the line item settlement of an asset under construction or an investment order.

Use

In this step, you define limited acquisition values as base values for the calculation of depreciation. This limited acquisition value can be stored as a key (05) in the multi-level method of the depreciation key, in the same way as all the other base values.

When you settle an asset with line item management, debits can be settled to CO receivers (particularly cost centers). This might be necessary if debits were capitalized to the asset under construction by mistake. The system requires a cost element in order to make this settlement to CO receivers.

6.3.4 Maintain Number Ranges for Documents for Line Item Settlement

Use

You only need to carry out this step if you plan to use line item settlement of assets under construction or investment orders.

Every settlement in cost accounting has to be uniquely identified in the system. The system makes this identification by storing a settlement document under a separate number for each settlement that takes place. The system also creates a CO settlement document for the line item settlement of an asset under construction or an investment order.

In controlling area BP01, the interval 1 to 1000000 has been assigned to the number range object “CO Object Settlement” with internal number assignment.
