Event Policies Instructors and evaluators are required to post their events on the Pet Partners Calendar as part of their licensing

agreement. To ensure that handlers across the country have an equable experience, the following guidelines must

be followed when posting events:

Scheduling Events should be scheduled a minimum of 30 days in advance. Pet Partners preference is that events are added

to the calendar as soon as possible but no greater than 12 months in advance. Events posted outside this

timefreame may not be considered toward activity requirements for renewal.

Registration for events must take place via the Pet Partners website in order to count towards the volunteer

activity needed to renew

Space availability – Please only use the full designation when your event is truly full, the capacity of an event should not be used as a screening method.

Fees If a fee is charged, it must be entered in the event fee box.

Event fees should be in line with the licensing agreement for Evaluators and Instructors.

Fees charged cannot lead to an intentional and consistent profit for Evaluators or Instructors.

Event fees must be consistent. For example, an evaluation fee should be the same for handlers who took a

workshop or an online course. Related, evaluation fees must be the same for any individual, regardless of

membership in a community partner or other organization or group. Fees cannot be different based on species

being evaluated.

Evaluation fees cannot be bundled with a workshop/course fee or a training fee; prospective handlers must be

able to select evaluation events independent of other services without cost repercussions.

Calendar Notes All events should be transparent and aligned with Pet Partners Policies and Procedures for conducting a

workshop or evaluation. Specifically, notes should not create unnecessary barriers to participation.

Notes are visible to the handler AFTER they have signed up for an event. Any information that handlers need

before registration should be included in the directions for the classroom.

Handlers are required to complete their handler training (online course or workshop) before attending their team

evaluation, they are allowed to sign up for an evaluation before having completed the training.

Content Delivery Pet Partners evaluations and workshops are available to any qualified team as defined by the Pet Partners

Handler Guide and/or Team Evaluator Policies and Procedures Manual. Requiring additional requirements or

suspending requirements requires prior Pet Partners approval.

The handler workshop must be available as a stand-alone event. It cannot be bundled with additional content

(such as dog training coursework) or altered in delivery method.

Accessing the site for the first time 1. Go to the Volunteer Center and log in

2. Click My Registrations from the right-hand navigation section

3. Scroll down to the Manage Your Active Registrations section

4. If necessary, click the + next to your current Instructor or Evaluator registration

5. Click the underlined text that describes the task you want to complete to be redirected to the admin portal for

the Training Center (LMS)

6. Log in using your PPID# (without letters) for your username and password

7. Accept the License Agreement by clicking on the Accept button

Important Vocabulary for the Prosperity Learning Management System (LMS) Classroom: the location where your workshop or team evaluation is being held. The data entry fields for classrooms are explained in detail on the next page. Class: and in-person event such as a Team Evaluation, Therapy Animal Handler Workshop, mini-workshop, or Practicum Instructor: the person licensed to conduct a class. All team evaluators and instructors are known as instructors in the LMS, they are able to schedule/conduct classes of type TE – Team Evaluation, PPH – Therapy Animal Handler Workshop, VwYP – Volunteering With Your Pet, or other mini-workshops based on their license with Pet Partners. Course: the type of event that is being conducted such as a TE or PPH

4. Type your state/province name in the location box and click the search icon to narrow the list to only locations in

your state

5. Check the details for any locations that might match the location you are adding by clicking the Edit button

6. If the location is a match, do not add a new classroom. Below is an example of a minimum posting that can be

used for multiple events. You’ll use the plus button in the green circle to select the state.

7. If there is no match click the Add a New Classroom button to begin adding a location

8. When the screen refreshes complete as many fields as possible. The ones in Red are required.

a. Class Room – enter the City Name – Street (used to differentiate between multiple classrooms in the

same city)

b. Description – enter building name (this field is not visible to attendees)

c. Capacity – enter the room capacity if you know it, or enter 10 if you do not (this does not affect

registrations)

d. Classroom Type – DO NOT CHANGE

e. Location – use the plus button to select the state (a window will open, click the name of the state

(International Evaluators, click your country)

f. Address - Enter street address if you want it to be available to students before they register

g. Address 2 – enter suite or room information

h. City – enter city

i. State – enter state/province abbreviation

j. Zip – enter zip

k. Country – leave as United States

n. Directions – provide only if you’re OK with handlers seeing this information BEFORE they register for

the event. This is a great place to list species limitations such as “cats only”

NOTE: The more information you can enter, the more useful the automatic emails your attendees receive

will be and the less questions you will have to answer about the event location.

o. Click the Save button (a message will appear at the top “Data has been saved”)

4. Open the detail for the room that you want to edit by clicking the Edit button

5. IMPORTANT! If you didn’t create the classroom do not edit it! Making changes will change the display for all

events associated with that room. If you need assistance, please contact us via the website and we can look up

all the events for that room.

6. Edit the information you need to change and click Save.

Adding a Workshop or Team Evaluation to the Calendar 1. Go to the admin page of the Learning Management System (LMS)

4. Navigate to the correct month

5. Click the add button on the correct date

6. Complete the fields on the Class Details form. The ones in Red are required.

a. Course – use the add button (plus) to select the correct course name for your event

b. Class ID – leave blank

c. Classroom – use the add button to select the correct location for your event

7. NOTE: If the location is not listed, open a new window and add it using the directions for

Adding a Location for a Workshop or Team Evaluation

a. Class Capacity – enter the number of spots you have available for online registration (do not include

spaces already filled)

b. Class Status – leave as open

c. Event Fee – enter the dollar amount that is payable to the instructor/evaluator

d. Fee Information - enter fee payment directions for funds due to the Instructor/evaluator such as

“Payment due by 1/15/2016”. This information shows up in the email that handlers get AFTER

registration any information that is needed before registration, such as cats only, needs to be added

to the directions section of the classroom.

e. Instructors – use the + button to open the instructor/evaluator selection window. Only the first 200

names will appear so you’ll need to search for names as needed. Search by last name to find

someone. To add a name, click the box next to the name that you want and select the “Add these

selected records” button.

f. The schedule is atomically started with one session, click the From box to add the start time

g. Click the To box to add the end time

h. Scroll up to the top and click Save

4. Navigate to the appropriate month if needed

5. Click the event details to open the class info

6. Scroll down and click the edit this session button

7. Scoll over until you can see the colored block indicating the current times & location for the event

8. Find the correct column and row for the locaiton and time you want (assuming the same date) and select the

cells that display the times and locaiton correctly at the bottom of the page

9. Click Save

Editing Existing Events – Marking an Event as Full 1. Go to the admin page of the Learning Management System (LMS) from the volunteer center or by direct link

TIP: For all events except Team Evaluations you can bulk score handlers who attended by clicking the completed

check box next to their names and then clicking Apply

Managing Multiple Animals with One Handler If a handler has more than one in progress team registration you will see multiple teams listed. The handler’s

confirmation email for a team evaluation directs them to contact their evaluator immediately if they are planning on

evaluating with more than one animal. However, they might not do this, so contacting handlers when you see more

than one team information is a good idea.

When a handler contacts you and you have space to evaluate multiple teams for them edit the class capacity to

decrease the number of openings. For example: if a handler says they will be evaluating with two animals open the

class info page for the event and decrease the class capacity by one.

Roster Management

5. Change the Class Capicity to decrease it by the number of extra teams

6. Click the Save button at the top of the page to save your changes

Adding a Student to the Roster Manually WARNING – You will only be able to add people to your roster if they have visited the training center. Only handlers

with team registrations who have visited the training center will have scoring information available.

8. Click the checkbox next to the person you want to add and click the Apply to Roster button

9. The page will refresh and you’ll see the person on the list

10. Repeat the search, select, apply tasks until you have added everyone you need to add

Learning About Your Attendees The roster will let you learn several things about your attendees

o Course Status – lets you know if someone is registered (open) or on the waitlist (wait) anyone who was

cancelled or dropped will show up as well. Clicking the course status link will let you see when they registered,

and their team information.

o Company – if the company reads individual they are not currently a registered volunteer with Pet Partners. If it

reads Pet Partners then they are a current volunteer.

o Name – clicking the person’s name will let you see their student record, selecting the Training Map will let you

see if they have completed the online course or workshop on the new site. It will not show anything if they

completed their coursework outside of the new calendar and LMS. You can get their email address and phone

number from their profile.

Class Printing Options Button

You can print several things under class printing options such as Name Badges, Tent Cards, a sign in sheet or roster.

You can also export the roster as a CSV file.

Us the Generic Sign in Sheet to generate a sign in sheet if you want one, also use it to generate a printed list of

the students’ name, email address and phone number. This option lets you include the Wait-listed students as

well.

Use the Export Roster as CSV option to create a spreadsheet of the open students. Once you’ve created a

spreadsheet you can fill in other information such as time slot and team info to make a tracking sheet for event

management.

Emailing All Attendees You can use the admin calendar portal to email all your confirmed students or all your wait listed students. This

feature is found at the bottom of the class roster

2. Click Send Email to Open/Complete Students to email everyone not on the wait list

3. After the email administration window opens change the from email address to be the one you want people to

reply to

4. Change the subject if desired

5. Type your message in the message box

Automatic Emails Sent for Events Someone signs up for a course or workshop

o Student receives “Your Recent Pet Partners Learning Experience or Event Order” that lets them know what

they signed up for, any event fees and fee notes. If they are on the waitlist this information is included.

o Instructor receives “Pet Partners Registration Notice” which includes the name of the handler, their email &

phone number, and the event they signed up for

Someone signs up for a Team Evaluation

o Student receives “Pet Partners Team Evaluation Registration” that lets them know what they signed up for, any

event fees and fee notes. Also includes what to bring. If they are on the waitlist this information is included.

o Instructor receives “Pet Partners Registration Notice” which includes the name of the handler, their email &

phone number, and the event they signed up for

Someone signs up for a mini-workshop

o Student receives “Pet Partners Mini Workshop Confirmation” that lets them know what they signed up for and

any notes. If they are on the waitlist this information is included.

o Instructor receives “Pet Partners Registration Notice” which includes the name of the handler, their email &

phone number, and the event they signed up for

Event is Cancelled

o Student receives “Pet Partners Event Cancelled” letting them know that the event was cancelled and to

contact their instructor/evaluator for further information.

o Instructor receives “Pet Partners Session Cancelled” with the information about the event that was cancelled

o Pet Partners receives “Pet Partners Session Cancelled” with the information about the event that was

cancelled

Scores submitted for Team Evaluation

o Student receives “Pet Partners Team Evaluation Complete” that includes information as to how to complete a

feedback survey about their experience

Results submitted for Workshop

o Student Receives “Pet Partners Workshop Task Complete” that includes information as to how to access their

assessment online
