The Conference theme this year is "Creating Generational Bonds: Uniting to Sustain Our Faith". Details concerning the activities and programs for this year’s District Conference are included in this correspondence. We stress the importance of sharing the information with your entire membership. ANNUAL CONFERENCE REFUND: All REFUNDS will be considered on a case by case basis. All REFUNDS will be given promptattention and paid within (30) days after the ANNUAL CONFERENCE. In addition, there will be NO REFUNDS on all additionaltickets (i.e... President’s Luncheon and the Banquet) All refund requests should be submitted in writing no later than March 2,2020, along with proof of payment and the reason for the request. All requests should be addressed to Financial Secretaries KnightAlonza Baker and Lady Gail Johnson THERE WILL BE NO REFUNDS after the deadline.
ANNUAL CONFERENCE REGISTRATION: The 82nd Annual Northern States District Conference registration fee is ($110.00) perperson. The Conference Polo Shirts and President’s Luncheon tickets are not included in the registration fee. Additional Banquettickets ($65.00) and President’s Luncheon tickets ($35.00). On February 21, 2020, until March 4, 2020, Late Registration ($125.00)per person.

Authorized representatives must staff Vendor booth(s) during all hours. Vendors are required to be at theevent for the two-day period when the conference is open for the conference attendees. If you cannotattend the entire event, please make arrangements prior to the conference.
(1) The requirement for everyday staffing will only be waived based on religious circumstances.
(2)A non-staffed booth is totally at the risk of the Vendor. Northern States DistrictConference assumes no responsibility for vendor products.
2. VENDOR SETUP & TEAR DOWN POLICY
The 2020 NSD Conference's Vendor Marketplace will be held at the Marriott Indianapolis East Hotel inIndianapolis, IN. The schedule is as follows:

Friday, April 17, 2020 10:00 AM - 3:00 PM 3:00 PM - 9:00 PM
Saturday, April 18, 2020 8:00 AM - 10:00 AM 10:00 AM - 4:00 PM
Vendors can begin set up Friday, April 17 @ 10:00 AM. All vendor booths must be dismantled by Saturday, April 18
by 5:00 PM.
Vendors may only move in or move out during the designated time periods. Vendors may not set up their booths after theConference has opened. Vendors may not pack their products or tear down their booth(s) before the Conference closing.
(1) Due to potential liability, the Knights of Peter Claver (KPC NSD) cannot accept Vendors who cannotcomply with this policy. Vendors who disregard this policy shall be excluded from future KPCNorthern States District Conferences until reinstated by the KPC Northern States District.
(2) If an early departure becomes necessary due to an emergency, we must be informed in advanceprior to booth tear down and arrangements will be made to assist you without endangering thepublic if the Conference is open.
3. VENDOR DISPLAY POLICY
A booth consists of 6 ft. or 8 ft. tables and two chairs. Vendors may not exceed the booth area reservedby the Vendor. Vendors will not be permitted to put on demonstrations unless the KPC Northern StatesDistrict Conference is notified in advance and sufficient aisle space exists to support an audience.
4. BOOTH DISPLAY INTERFERENCE
No Vendor may interfere with or block a neighboring Vendor.
(1) Display material exceeding three feet in height above a table may not extend more than four feetfrom the back of the booth without permission from the neighboring Vendor.
(2) Vendors who have an end or corner booths may not exceed the three-foot height limitation onthe back or side rail without permission from the neighboring Vendor.
(3) Display materials at the back of the booth may not exceed the eight-foot height of the drape.
5. SAFETY PROVISIONS
(1) Vendors must provide the necessary shielding or safety items to protect attendees, Vendorsand all others from equipment that may cause bodily harm.
(2) Electrical wiring and equipment must meet the standard electrical codes.
6. PROMOTIONS & LITERATURE DISTRIBUTION
Merchandise booths only (no food items) (candy acceptable)
(1) Promotions and commercial literature distribution by a Vendor are restricted to the confines ofthe Vendor's booth area.
(2) Vendors are not permitted to use other persons to distribute materials at other locationson the Conference premises.
7. MOVE IN and OUT SAFETY
Please note that for safety reasons during the move in and move out periods, KPC and MarriottIndianapolis East Hotel do not permit children under 16 years of age to be on the Conference floor.
8. INDEMNIFICATION
Vendor shall defend, indemnify and hold the KPC/Northern States District Conference harmless from anyclaim or lawsuit arising from any act or omission on the part of the Vendor, its agents, employees orassigns that may cause harm to others, including but limited to any and all claims or lawsuits arising fromor concerning retail licensing and licensing, copyrights and patents of the merchandise sold by Vendor. Inthe event the KPC takes legal action to enforce this provision and prevails, the Vendor shall be responsiblefor the payment of all costs, expenses and attorney fees incurred by the KPC in pursuit of suchenforcement.
