Generalregulations
Art. 1 : Organizations wishing to obtain exhibition space in the FairmontMonte-Carlo unreservedly accept the terms of these regulations and thestipulationsofpubliclawapplicabletoeventsorganizedinthePrincipalityofMonaco.Theyacceptany furtherstipulations imposedbycircumstancesorintheinterestoftheevent.
Art. 2 : Reservation applications signed by an exhibitorwill only be takenintoaccountiftheyaremadeusingtheofficialorderformandaccompaniedby a down-payment, the amount of which is 50% of the total cost ofreservationincludingVAT.The balance is due at the latest by August 1st 2018; failing thistheorganizerreservestherighttomakeuseofthespaceappliedfor.
Art.3:Boothsareallocatedinorderofreceptionofapplicationsdependingon spaces available at the timeof receptionand, as apriority, on reserva-tionsduringpreviouseditions.Theorganizerswillattemptasfaraspossibletosatisfyexhibitors’preferences.
Art.4 :Thetransfer,sub-lettingorsharingofbooths, freeofchargeor forvaluable consideration, is strictly prohibited without prior written agree-ment. Exhibitors are also prohibited from hiring spaces in the FairmontMonte-CarlootherthanthosemadeavailablebytheRVSAssociation.
Art. 5 : Distribution of advertising material or flyers is possible only onpartners’boothsandinareassetasideforthispurpose.
Art. 6 : Distribution of business gift objects is strictly prohibited. Theorganiserreservestherighttoremoveanybusinessgiftobjetwhichhasnotbeen validated by the organiser. Advertising is prohibited without prioragreement from the organiser. Distribution of flyers or magazines isauthorisedwithintheboothsonly,unlessauthorisationtodistributeoutsideofstands,onpublicroadsespecially,hasbeengivenbytheorganisers.
Art.7:Ifpaymentforaboothhasnotbeenmadeinfullbytheopeningofthe RVS on 7 September 2017 the RVS Association reserves the right todisposeofthespaceandshallbeundernoobligationtorepaysumsalreadyreceived.Intheeventofcancellationbyanexhibitorbefore15August2017the RVS Association shall retain by way of compensation the 50% down-payment received. If cancellation occurs after this date all sums due arepayableand shall be retainedbywayof compensation forbreachof con-
tract.
Art.8:Exhibitorsshallaccepttheallocatedspacesintheconditioninwhichthey find them and shall leave them in the same condition, and shall beliable directly to the Fairmont Monte-Carlo for payment for any damageresultingfromtheirinstallationordecoration.
Art.9:TheexhibitionplanshallbedrawnupbytheRVSAssociationwhichshall allocate spaces in the order of reception of applications, taking intoaccountpreferencesexpressedbyexhibitorsand,asapriority, taking intoaccountthespaceoccupiedduringpreviouseditionsoftheevent.
Art.10:IftheRVSAssociationisobligedtomodifyspacesorinstallationsitshallnotbeheld liable inanywayandexhibitorsundertaketoacceptthedecisionsmade.
Installationofboothsandsecurity
Art.11:Allocatedspacesshouldbeoccupiedbyexhibitorsatthelatestbynoonon12September2017.Otherwisesuchspacesshallbeconsideredasvacant and can be reallocated, with no rights of compensation or repay-mentfortheabsentexhibitor.
Art.12 :Exhibitorsmust restrict themselves to theallocatedboothspaceand not store items outside the limits indicated by the FairmontMonte-Carlo.
Art.13:Allboothsmustbecompletelyfittedoutandwithexhibiteditemsin place by noon on 12 September 2018. Packaging materials should beremovedfromtheFairmontMonte-Carloasquicklyaspossible.Exhibitorsareindividuallyresponsibleforthetransportation,receptionandstorageoftheirequipmentandmaterials.
Art. 14 : Exhibitors shall comply with instructions given by the FairmontMonte-Carlo.
Art. 15 : During the fitting-up period, materials and equipment shall bebrought into the Fairmont Monte-Carlo under the sole responsibility ofexhibitors. Exhibitors are responsible formaterial exhibited andhired. TheRVS Association shall not be held liable for loss or damage ofmaterial orequipmentthathasnotbeenremovedbycompanies intheconditions laiddown.
Art.16:Ingeneral,exhibitorsareunderobligationtocomplywithregula-tions applicable to trade shows and safetymeasures as laid downby thePrincipality ofMonaco. They should consult the safety regulations of theFairmontMonte-Carlo.
Art.17:Thesignatoryherebywaivesallrighttoclaimsagainsttheorganiz-ersortheownersofthepremises.He/sheundertakestoobtaininsuranceagainstallriskstowhichexhibiteditemsareexposed(theft,damage,etc.)andthird-party liabilitycoverageforallemployeesortemporarystaffpre-sentduringtheevent.
Art.18 :Eachexhibitor is responsible forobtainingcustomsclearanceformaterial or products brought in from abroad. The organizer shall not beheldliablefordifficultiesarisingfromtheseformalities.Theexhibitorthere-foreguaranteestheorganizeragainstanyactionsorclaims inthis respectandshallcompensatetheorganizerforanyprejudicesufferedasaresultofnon-compliancewithnecessarycustomsformalities.Theorganizerreservesthe right to refuse access to the FairmontMonte-Carlo for any items forwhichapplicablecustomsdueshavenotbeenpaid.
ForceMajeure
Art.19 : Intheeventthat, forreasonsofforcemajeure, theeventcouldnot take place, exhibitors undertake to waive all rights to compensationfromtheorganizer.
