PLANNING GUIDELINES & REMINDERS Planning Schedule Your Wedding Planner will review the planning schedule with you in detail to keep you on track to planning your perfect event. Menu Selections and Pricing Menu selections and prices are subject to change (based on product availability and market conditions).Menus and pricing may be confirmed up to six months prior to your Wedding. Menu selections should be confirmed with your Wedding Coordinator at least Six Weeks in advance of your event. Please note that you r contracted food and beverage minimum must be met when planning your menu. Service Charge & Sales Tax Food, Beverage, Room Rental, and Rental Items are subject to current service charge & sales tax in effect the date of the event (currently 25% service charge and 8.25% sales tax). Service charge is a taxable item under current regulations. Food & Beverage Guarantees Final attendance guarantees and quantity guarantees for a’la carte items must be received no later than 12pm three (3) business days in advance (as outlined below). For Friday events, Guarantees are due preceding Tuesday. For Saturday and Sunday Events, Guarantees are due preceding Wednesday. If no guarantee is received by the above timeline, the expected number on the banquet event order will be submitted as the guarantee. Guarantees are not subject to reduction. If attendance exceeds the guarantee, the actual attendance will be charged. Please keep in mind that a delay in service may result if additional meals are required. Food & Beverage Regulations The Texas Alcoholic Beverage Commission regulates the sale, service and consumption of alcoholic beverages. All alcoholic beverages must be purchased through the hotel and must be served on hotel premises, by hotel staff, in accordance with these rules. Alcoholic beverages cannot be removed from the property. With the exception of your Wedding Cake, the hotel must provide all food and beverage. The hotel is responsible for the quality and freshness of the food served to it’s guests. Due to health regulations, food may not be taken off the premises after it has been prepared and served to its guests. Function Payment & Required Deposits Full payment must be received in advance in accordance with deposit schedule outlined in your agreement. Non-refundable deposits are required for all social and weekend functions Security The Renaissance Austin Hotel does not assume responsibility for the damage or loss of any property brought into the hotel or left in the hotel, prior to, during or after your reception. It is the patrons’ responsibility to arrange for collection of all personal items and gifts. Electrical Lighting, Audio Visual and Entertainment requiring additional power are subject to a fee for hookup and use of electrical at $ 125 per 20 amp circuit plus service charge and sales tax. Please provide your requirements to your Wedding Coordinator.

PLANNING GUIDELINES & REMINDERS Use of Outside Vendors Use of Outside vendors must be reviewed and approved by the hotel. Please review important requirements before selecting your vendors. All Vendors including Florists, Decorators, Audio Visual Companies and/or Entertainers are required to provide a current certificate of insurance (COI) including a minimum of $ 1M covered liability. Renaissance Austin Hotel, Owner, and Marriott must be named as additional insured and additional loss payee to include workers compensation and auto liability. Exact insurance coverage requirements are based on scope of work. Please review with your event manager. In addition, a hold harmless agreement must be signed and on file absolving Renaissance Austin from any claims resulting from equipment used or labor provided by the outside vendor. We require above no later than 2 weeks prior to your event. All vendors should be instructed to contact the hotel Wedding Planner at least two weeks in advance to review details and to gain necessary approvals for decorations. Vendors must comply to hotel specified procedures and conduct guidelines. Move-In/Out times must be scheduled in advance with the Wedding Planner. All move-in/out must occur through our loading dock area. All vendors are responsible for removing all of their items promptly at the conclusion of the event and are responsible for removing their own trash. The hotel cannot be responsible for items left behind or for storage. Please refer to Decorations section for additional information. Safety Regulations To comply with fire safety regulations, no open flames are allowed. Candles enclosed in votive containers or Hurricane lamps are permitted. Any potentially flammable items used for the event will require approval and may require additional licenses and permits from the city. Pyrotechnics and any devices which interfere with life safety systems are strictly prohibited. Under no circumstances can fire exits be blocked in any area of the hotel. All diagrams will require approval from the hotel and are subject to hotel and city fire and safety specifications. Damages It is the responsibility of the patron to assume full responsibility for any damages to the hotel property caused by the patron, their guests, or the agents of the patron (i.e. bands, florists, decorators). Decorations All decorations must be approved by the hotel through your Wedding Coordinator. Under no circumstances can anything be nailed, screwed or otherwise affixed to the walls, ceilings or fixtures of the hotel. Rice, Bird Seed, Red Rose Petals, Sparklers, Confetti and Glitter are not permitted. Please refer to safety instructions regarding use of candles. The hotel staff cannot be responsible for assembly or placement of floral arrangements, favors or décor. Please note that a clean up fee of $ 250 or more may be assessed for any decorations which require additional labor to clean after the event.
