Hiring Employees Means Hosting Devices

The proliferation of mobile devices – smartphones, tablets and laptops – is no longer a new development for IT; it represents a new model for

workforce management. As a business owner, executive or manager, you are already aware of how popular these devices are. But you might

not know how profoundly these devices could be impacting your business IT and the nature of your employer-employee relationship.

To gain a deeper understanding of the mobile workforce phenomenon, the independent research group, Ovum, conducted a study on mobile

trends worldwide. Ovum surveyed 4,038 employees representing more than a dozen industries and professions, from customer service to

procurement and production, in eighteen different countries across the globe, to highlight the impact of the "bring your own device" (BYOD)

movement that blurs the lines between the personal and the professional, the consumer and the company.1

As you will see in the pages ahead, the study's results are provocative. Use of mobile devices is much larger and more widespread than many

companies expect. More importantly, much of this mobile activity is occurring under the IT radar, exposing businesses to risks they do not see

and, therefore, cannot manage.

In this brief report, we will draw upon the Ovum survey to reveal the true reach of mobile devices, what it means for employee/employer

relations, and what employers must do now to manage and master mobile and BYOD trends.

Employees Want to Be Mobile

To your employees, the ability to use mobile devices for business purposes is not only desirable, but increasingly expected. They no longer see

"work time" and "personal time" as absolutely distinct categories. Likewise, an increasing number prefer not to make clear cut distinctions

between personal and employer-owned digital devices.

More than forty percent of survey participants said they agreed or strongly agreed that they preferred to use a single tablet for work and

personal use [Figure 1]; for phones, the preference for one device was expressly by nearly half the participants [Figure 2].

When the survey probed how and why employees wanted to use these devices, the results were even more revealing. Almost two-thirds –

64.5 percent – agreed or strongly agreed that they would like to be able to access corporate email and other business applications outside

official working hours [Figure 3]. Better yet, 64 percent believed that having such access would enable them to do their jobs better [Figure 4].

Given their preference for carrying one tablet or phone for both business and personal use, and their confidence that using these devices

would improve their ability to do work, it is probably no surprise that most survey respondents would see such devices as a favorable

employment perk: more than 63 percent agreed that getting a tablet and/or phone from their employers was an appealing idea [Figure 5].

Think of mobile as the new normal for doing business

From these statistics, it is fair to draw the following reasonable conclusion: Today, employers should consider mobile access part of the "table

stakes" of contemporary human resource management. Enable mobile devices – your employees see them as a worthwhile benefit. And as a

means for enabling productivity, they benefit your business as well.

Regardless of Ownership, Businesses Must Protect Data

Just how important are mobile devices to your employees? According to the Ovum study, important enough that many employees would

rather (and, in fact, will) bring their own devices than do without them. Nearly 43 percent indicated that they would like to use their own

smartphones for work if their employers did not provide them [Figure 6]; almost 37 percent said the same about tablets [Figure 7].

But this preference is not merely prospective – it reflects behaviors that are already happening. Across nations and industries, the worldwide

average of the number of full-time employees who use their smartphones and/or tablets for work is significantly more than half at 57.1

percent.

We might expect professionals in the IT and Telecom industries to have the highest rate of BYOD adoption and they do, at nearly 70 percent.

But it's important to note that even the profession with the lowest adoption rate, Healthcare Providers (at approximately 50 percent), are still

very close to the norm, with only twenty points separating the top and bottom of the scale [Figure 9]. Company size does not matter either,

with only ten percentage points separating the rates between the highest and lowest adopters [Figure 10].

If you're in business, you're in BYOD

The numbers make it clear: no matter where you are located, how big you are, or what industry you are in, BYOD is or will be a common

reality in your workplace.

Mobile Must Be Managed

While mobile devices offer opportunities for both employees and employers, such as increased convenience and productivity, there are

challenges to privacy and security that demand conscientious management. The Ovum study offers a "good news, bad news" scenario: on the

plus side, employees appreciate the need for management policies; but on the other hand, too few employers have such policies in place.

Approximately 48 percent of survey respondents expressed privacy concerns that would inhibit them from using personal apps on a

corporate-owned device [Figure 11]. A comparable number, 48.5 percent, were open to the idea of a remote wiping in the event of a lost or

stolen device, even if it meant losing all their personal data [Figure 12].

In many ways, employees appear to be more responsible in their approach to mobile than their own employers. When asked about their

employers' awareness of their work email activity on mobile devices, more than 46 percent of employees believed that their employers either

did not know about it or actively ignored the activity [Figure 13]. If we can regard a signed agreement between employees and employers as a

proxy for BYOD management, the numbers are grimmer still – 79 percent of BYOD usage worldwide remains largely unmanaged [Figure 14].

Beware the gap

Even though BYOD has already become a common fixture in the contemporary workforce, too few employers have actively addressed the

issue: there is a disturbing gap between the increasing use of mobile and BYOD in the workplace that is not matched by a comparable degree

of employer management of the trend.

Now is the Time to Move into Action

As the Ovum study makes abundantly clear, mobility is a trend that is too big to ignore. More employees expect mobile device usage; more

are using them for both personal and professional purposes; more will bring their own when employers do not provide them.

Yet management policies and procedures remain behind the curve, creating confusion among employees – and potential security risks ahead.

The issue is no longer whether businesses need to manage mobile, but about when they will accept responsibility for a trend that it already in

motion.

The challenge is urgent. Today, employees expect privacy and flexibility, while employers need information protection and control.

Fortunately, with a comprehensive strategy and the right solutions, all parties can collaborate on a common goal: increased productivity that

does not sacrifice security.
