PARAMIPS

Using PARAMIPS (Paradigm's MARC Interface Processing System)

Setting the default database

1. Locate the PARAMIP$ icon on the desktop and double-click it, OR

in the Start menu locate the PARAMIPS program item and click on it. (see below)

2. The PARAMIPS dialog box will be displayed as below.

3. Select the File menu.

4. Move the mouse pointer or scroll to the Database menu item.

5. Select Bibliographic Org. This will set the selection as the default database. (see below)

Default selection indicated with a checkmark.

Note:

If you are importing ­

• acquisition records, select Acquisition Titles as the default database.

• bibliographic records, select Bibliographic Org. as the default database.

• serials records, select Serials Master as the default database.

All default selection will have a checkmark placed on the left of the selection. (see

above)

Importing MARC records

1. Select the Import menu 'from the PARAMIPS dialog box as shown below.

Select this to import MARC files.

Select this to import ASCII text files.

Select this to import a batch of records AFTER importing the file via MARC or ASCII.

2. Select MARC .. and the Open dialog box will be displayed as shown below.

3. Select the file you want and click the Open button and the dialog box below will be

displayed. This will import the file into PARAMIPS as a batch. Please refer to

Importing a batch for more information.

Note:

You can perform Steps 1 through 4 many tImes In order to import multiple MARC

records. This will create b~tches of imported MARC records that can be imported later for

indexing.

Opening a previously imported batch

1. Select the Import menu from the PARAMIPS dialog box.

2. Select Batch... and the Select Batch dialog box will be displayed as shown below.

3. Select the batch you wish to load and click the OK button. To close this dialog box,

click Cancel.

4. Once a batch has been loaded, the dialog box below will be displayed. Click the OK

button to proceed.

5. The PARAMIPS dialog box will now display the records loaded from the batch you

imported as shown below.

A thick pipe ( I) sign indicates imported subfields.

6. Finished.

Importing ASCII text records

The steps needed to import ASCII text records are similar to those needed to Import

MARC records. Please refer to page 2 under Importing MARC records.

Converting the imported record or batch

1. Once you have loaded the batch, you can choose to convert the record in the batch one

at a time or all records in the entire batch.

2. Before converting, the PARAMIPS dialog box must first contain records imported

from the batch as shown below. Remember, imported tags are indicated with a thick

pipe ( I ) sign.

3. Select the Convert menu.

4. If you wish to convert a record in the batch, select Record.

5. If you wish to conver~ all records in the batch, select Batch.

The dialog box below will be displayed.

6. Select the appropriate script file for the conversion and click the OK button. The script

file will be provided for you.

7. Completed.

Saving, validating and indexing records after conversion

After importing and converting records in a batch, you can proceed to save, validate and

index the records.

1. Proceed to add, edit, or delete the tags, indicators, and bibliographic details from the

Tag, Indicator 1, Indicator 2, and Bibliographic Details columns respectively.

2. When you have completed Step 1 click the Record menu and select Validate. This will

verify the information you entered. If there are errors, then proceed to correct them

and repeat Step 2 gain. If there are no errors, then proceed to Step 3

3. Click the Record menu and select s.ave. This will save the information you entered into

the buffer area.

Once you have saved a record to the buffer area, you can also now use ILMU's

Bibliographic Organisation to perform the indexing of records. Therefore, you now

have two ways to index imported records - one via PARAMIPS and the other via

ILMU.

4. Click the Record menu and select Index. This will index the information you entered

which now can be retrieved from the ILMU database (via OPAC for example).

5. To index another record, move or scroll to the Record menu and select either First,

Next, Previous or Last. Proceed to repeat Steps 3 through 5 to index multiple records in

a batch.

6. Finished.

1. Before importing any records into PARAMIPS, the record batch must be stored in a folder which has a pathname less than 50 characters.

How to download MARC records from Library Of Congress and Index in PARAMIPS

Follow the steps below to download the records from LOC website

1. Log in to the LOC web page and search for the desired record .,

2. After confirming the records to be retrieve, select the "Print or Save" & "MARC

Save" only

-when you select this option the record will be displayed in a single long line MARC

format

3. Save this record using the Internet Explorer file saving option

- go to File - Save As -filename. txt (default text file extension)

4. When saving the file remember to save into a folder which is easier to be recalled by

the user. (recommended saving the file into the C: \Paramips folder)

5. The ne~t step is to rename the retrieved file into an (.out) extension

-to rename the saved record to an (.out) extension, right click the file and select

rename, rename the .txt to .out

Follow the steps below to Edit, Index and Save the records in PARAMIPS

1. Open the PARAMIPS program

2. Go to Import MARC, and select the file that was downloaded from LOC

3. Import Batch to preview the records in the PARAMIPS program desktop

4. Select Convert-Record/Batch to convert the downloaded MARC format to clean up

unwanted Tags.

5. Select Record-Validate to check for further umecognized Tags and Indicators

6. After cleaning all the unnecessary records, save the record and index it, so that it can

be stored in ILMU database.

Chapter B - Z39.50 Interface

Overvievv

The advent of Internet has made 239.50 a promising protocol for search and

retrieval. The protocol allows 239.50 servers located anywhere in the world

to be searched. Records on those servers can then be retrieved in MARC

format for local reuse. This flow of data from the origin (or client) and target

(or server) is best illustrated by the diagram. Paradigm Systems has developed

both the 239.50 server and client. The 239.50 server allows various search

clients access to the library's database while the 239.50 client will access other

library's database

Pengenalan

Data Bridge adalah utiliti yang menyokong sepenuhnya tugas-tugas memindahkan rekod dari pangkalan luar ke

sistem ILMU. Ia membantu memendekkan proses pencarian, penyaringan,suntingan dan pemindahan rekod

sebagai sumber akses dalam pangkalan data tempatan . Punca akses utama pencarian rekod adalah dengan

nombor ISBN, yang bertindak sebagai katakunci yang unik bagi setiap koleksi.

Fungsi Data Bridge membantu memendekkan tugas penyalinan rekod katalog (copy cataloging) hampir 70%,

bergantung kepada pemilihan pangkalan data yang menjadi sumber pencarian atau content providers. Rekod

yang terhasil dari proses ini akan terus diindeks di dalam sistem ILMU, setelah nombor aksesyen diberikan bagi

setiap rekod. Manakala proses seterusnya adalah menyediakan kod palang dan label tulang buku.

Proses penyediaan senarai nombor ISBN

Proses bermula daripada penyisihan"bahan yang perlu dibuat pencarian melalui utiliti DataBridge. Setelah bahan diasingkan,

kakitangan perlu menyediakan satu senarai nombor ISBN di dalam format Mocrosoft Excel!. Senarai yang dihasilkan perlu

dimasukkan dalam dua ruangan iaitu, judul dan nombor ISBN. Tanda-tanda bacaan lain seperti sempang (-), tidak perlu

dimasukkan.

Proses senggaraan rekod bibliografik bagi pencarian melalui DataBridge.

Bina satu folder DataBridge bagi terminal yang menjalankan proses pencarian rekod. Contohnya C\DataBridge

Setelah nombor ISBN melalui proses penyelenggaraan, tukarkan senarai ISBN tersebut ke dalam Microsoft Access. Perlu

diingatkan senarai ISBN ini perlu dimasukkan ke dalam 'template' yang telah disediakan untuk proses Data Bridge.

Melalui fungsi DataBridge, buat carian bagi nama fail yang senarai ISBN, contohnya BatchOOl.mdb

Dalam ruangan output file name, masukkan nama fail yang sama dengan Import File Name, dengan tambahan (extension)

Kosongkan ruangan Search Text dan pilih ISBN dalam ruangan Search in field

DATA BRIDGE

Penggunaan PARAMIPS

PARAMIPS adalah utiliti yang membantu membuat sarlngan rekod yang telah dlperolehi darlpada proses DataBridge.

Daripada fungsi PARAMIPS, pilih menu Import. Pilih format MARC. Satu skrin dialog akan dipaparkan.

Pilih fail yang berkenaan dari dalam direktori yang dipaparkan. Contohnya BatchOOl.out.

Kemudian pilih menu Import semula, dan pilih ~atch dari pilihan yang diberikan.

Setelah pilihan dibuat, klik OK.

DATA BRIDGE

Mengindeks rekod ke dalam pangkalan data ILMU melalui fungsi PARAMIPS

Rekod yang telah diperolehi perlu diindeks bagi rnemastikan ia boleh dirnanipulasi sebagai rekod bibliografik di perpustakaan

(library holdings). Prosedur pengindeksan adalah sarna seperti yang terdapat di dalam fungsi Bibliographic Organisation dalam

modul cataloging.

Selepas proses ini, nombor aksesyen perlu diberikan melalui fungsi Accession File Maintenance. Proses asas DataBridge tamat

sehingga rekod yang dipindahkan diindeks dalam fungsi PARAMIPS.
