The Home Screen

Below provides some additional information about the Navigation Panel. Depending on the magnification of your screen you may not see the names of folders. If you want to see the names, change the magnification. More detail on Edwin Analytics, My Content, and Search are included in future sections of this document.

Recently Run Reports on the Home ScreenWhen you log on to Edwin Analytics via the security portal for the first time you will something like this

As you run reports, the most recent reports you run will be pinned to your home page. Click on the report to rerun it. It will show up to six reports by default, with the last report run first, but you can select “Show more” to see more reports. For example:

Recently run reports are also available in the Recent folder with the clock icon:

Logging out and returning hours, weeks, or even months later will not remove these reports so users who log in rarely will easily find the last reports they ran.

To remove a recently run report from the home page or the folder, click the ellipsis and Remove from Recent.

Reports Organized by Content in the Edwin Analytics Folder All reports reside in a subject folder, but security on the reports will prevent users from seeing

reports they are not permitted to access. A list of report names and access levels is available on the Edwin home page (coming soon).

To explore available reports, select Edwin Analytics in the Navigation Panel on the left, which, for most users is the folder with the star . When you select from the left side bar, a menu will pop out. Reports and tools are grouped in folders by topic area (and in some cases, subfolders). Below are the top level folders:

TIP: Making this menu wider will make it easier to read folder and report names. To make this menu wider, move the right edge out.

When you have selected a folder, a list of available reports will appear. This may include aggregate and student level reports if your security role gives you access to student level data.

Reminder: Making this menu wider will make it easier to read folder and report names. To make this menu wider, move the right edge out.

Right click the ellipsis for a description of the report under More info. A pop-up window will appear with the description and potentially other additional information.

To navigate back a folder, use the menu navigation bar. For example, if you are in the MCAS subfolder of Assessments, you can click on Edwin Analytics to go back to the parent folders or Assessments to see MCAS and ACCESS subfolders.

If the navigation menu is too narrow and the folder names cannot be displayed in full, click the folder with the ellipsis.

The folders not able to be displayed will appear in a dropdown. Click on any of these to return to that parent folder.

General Report Running Tips There are blue dots that indicate a hint to help with using Cognos 11. Click the blue dot and a box

will open with the hint. You can turn these on/off under My preferences by clicking the icon in the top right corner and unchecking Show hints.

Click on the report you would like to run. Follow the necessary prompts.

As you run reports, they will open in the same browser window and you can navigate between open reports through the Navigation Menu in the middle of the top blue bar (where Welcome represents the default home page). If you want to run a new report, you will use the left side bar to find the new report to run. This report will be added to the open list of reports along with Welcome.

The Prompt PageWhen a report is selected, in most cases, a Prompt Page displays where you are prompted to filter the report to satisfy your criteria.

Required filters are identified by an * orange asterisk.

Some filter selections may take a few seconds to load the selected data. For example, selecting a district from the District filter will pre-filter the School or Program filter to show only the schools/programs for the selected district.

The Submit or Finish button is not available unless a selection has been made for all the required filters on the Prompt Page.

Additional filters enable you to refine your query more precisely, resulting in a smaller number of records. For example, using the Prompt Page screenshot above, if you selected ‘EL’ (English Learners) from the Student Group filter, the report would include ONLY EL students; if you selected both ‘EL’ from the Student Group filter and ‘High Risk’ from the EWIS Risk Level filter, you would get ONLY those students who were BOTH English learners AND identified as high risk at the start of the year.

Some reports have one or more Prompt Pages while other reports run automatically without any filtering by defaulting to your district or school information. Most reports include prompts on the report view so you may quickly re-filter the report to see other districts and schools. Simply choose your new filters and click the Submit or Finish button to run the report.

After running the report, click the in the top left corner for more options. Reset prompts and run will allow you to change prompt selections and rerun the report.

Some reports have hyperlinks that allow you to click through to a different report (e.g. a student level report). These typically open in new tabs or windows. You must enable popups to view these reports. Reports in new tabs or windows are not in your navigation menu.

View Reports in HTMLMost Edwin Analytics reports are initially displayed in HTML because this is the format of choice for viewing reports on the Internet and the HTML format enables the reports to be interactive by allowing reports be filtered for specific data prior to viewing. When a report displays in HTML, it may be necessary to scroll using the horizontal and vertical scroll bars in order to view the entire report. In cases where the reports are multiple pages in length, there is a next page/down link in the lower left corner for advancing to the next page of the report.

Reports may also be viewed in PDF, which is the recommended format for printing Edwin Analytics reports. The PDF format displays and prints the report exactly as it appears on your screen.

Print Reports in PDFReports should be printed using the PDF format. This way you are assured that what you are viewing on the screen is what will print out in hardcopy.

IMPORTANT: As required by state law, data that identifies individual students or individual teachers should not be saved to the local hard drive on your laptop or tablet if it is not

encrypted; student- and teacher-level data should only be saved to a secured file server. Contact your district IT department/personnel if you are unsure about the security of your computer’s hard drive.

After running a report, click the in the top left corner for more options. Select “Run PDF.”

The report will open in your computer’s default PDF application in either a new browser window or a new tab, depending on your

browser settings. MAKE SURE YOUR BROWSER ALLOWS POP-UP WINDOWS. For those who have Adobe Reader as their default PDF application, point your cursor near the bottom or the top of the report page (depends on your browser) to display the Adobe Reader controls for printing and saving. (See the screenshot below as an example.) In Firefox, the controls appear at the top of the page but under the browser menu. In IE, they appear at the bottom of the page. We do not recommend using your browser menu to print or save Edwin Analytics reports as you may get unexpected results.

IMPORTANT: If you are not using Adobe Reader, follow your computer’s PDF application’s instructions for printing and saving Edwin Analytics reports.

Choose the PDF application’s Print icon to print the report. Choose the PDF application’s Save icon to save the report. In some instances, if you are having trouble saving, you can print to PDF and save that file.

Export Reports to ExcelSome reports can be run directly as an excel report. Most reports can be exported to excel. This may be desired to do additional filtering and additional analysis of your data.

IMPORTANT: While some reports may be exported to Excel successfully, not all reports will correctly format in Excel. After exporting a report to Excel, it is recommended that reports be previewed before printing from Excel. This way, adjustments can be made prior to printing in order to fit the report into the spreadsheet format. It should also be noted that assistance using MS Excel is not supported by the Edwin Analytics team. Questions regarding MS Excel should be directed to your local IT department/personnel.

Trouble seeing the download? The download appears at the bottom of a new tab or window. MAKE SURE YOUR BROWSER ALLOWS POP-UPS. If in a new window, make sure you can see the bottom of the window. Click the full screen icon in the top right corner.

Favorite Reports Saved to Folders You Create in “My Content” Save your favorite reports to your My Content folder for easy access in the future. You can also

make sub folders in my content; just click the to add a folder.

When you have run the report you want to save click the in the top left corner and follow instructions.

Report views saved in My Content will always run the most recent version of the report.

Search Function Enter a search term of interest. This will scan the report names and description and return a list of

potential reports. If you get too many results, you may need to be more specific in what terms you use.

You can view the report descriptions by right clicking the ellipsis and selecting More info.

Searches may be filtered by using the Narrow Your Search (filter) icon . Click on the Filter icon to open the filter menu.

Searches may be filtered based on the type of object the User is looking for as well as narrowing down for the date modified. Under Type, check the box next to Reports. Leave the Date Modified selection as All. The search results dynamically filter to show only Report objects (reports, active reports, report views).

Click on the Save Search icon at the top of the Search Panel to save your Search. Notice that a confirmation of the save will appear under the Navigation Menu. The next time you wish to run the search, you can do so with a single click.
