Michigan Primary Care Association
EHR/EDR USERGROUPS ORIENTATION
WEBINAR
November 22nd, 2013
Purpose of the User Groups
Provide the Health Centers a platform
to troubleshoot IT issues,
to maximize system effectiveness,
to receive system-specific assistance from vendor partners, and
to leverage "economies of scale" in sharing templates, reports, and other system-specific items with one another.
Peer-to-peer support for the FQHC’s
to maximize utilization of the EHR technology in pursuit of attaining Meaningful Use, PCMH, and QI standards in order to achieve the end goal of “triple aim”.
Structure of the User Groups
Facilitators- Michigan Quality Improvement Network (MQIN), DentaQuest and Mid-West Clinicians Network staff.
Users-Various health centers using the EHR’s and EDR’s.
Developers- Vendors of Electronic Health Records (EHR) / Electronic Dental Records (EDR).

Facilitators Role
Promote user groups and strive for 100% participation for eligible health centers
Maintain a roster of current and potential members for each user group, created using the survey/profile form received and from email responses.
Develop monthly agenda and discussion topics from MPCA survey, MWCN listserv, and polling the group.
Recruit presenters/speakers from membership to share successes or a challenge
Track participation - Listen for attendees to join call and ask name to keep a log of individual names and health centers on each call to facilitate and engage conversations during call.
Facilitators Role
Coordinate all communications and promotion/ announcement to the health centers and if needed the vendors.
Follow up with group on questions, issues and resources discussed during meetings.
Respective user group facilitator will add member to Mid-West Clinicians Network by submitting names and email addresses.
Track activity on MWCN listserv and follow-up as appropriate.
Users Responsibilities
Join the group and take active participation.
Encourage others who could potentially benefit from the HC to join.
Users are requested to use the user group platform to benefit and share their knowledge, successes and challenges or barriers with the other members as deemed appropriate by their HC’s practices.
MPCA highly suggests that HC’s are aware of the HIPAA privacy and security concerns while sharing any material that my contain PHI.
Follow the MPCA Listserv Code of Conduct.
Role of the Vendor
The vendor for each user group will join the meeting on an “as needed” and “as available” basis.
They will bring to the table the expertise in desired fields and answer the technical questions which can not be answered within the group.
This is not an opportunity for vendors to market their products.
We are glad to announce that we have vendor support for this initiative and they are very interested to be a part of it.
DentaQuest Foundation
Michigan Primary Care Association has received a second year of
funding from the DentaQuest Foundation to participate in the
Strengthening the Oral Health Safety Net (SOHSN) initiative as a state
primary care association partner. The Strengthening the Oral Health
Safety Net initiative addresses the challenges that Health Centers, as
safety net providers face in providing comprehensive primary and
preventive services. A strong safety net is vital to meet current and
future demand for oral health prevention, education, and treatment
Developing EDR user groups is one solution to addressing the
“IT”challenges Health Center’s Oral Health Providers face today
We have Dentrix and Qsi vender support for these user groups.
Partnership with Mid-West
Clinicians Network (MWCN) All the participating group members will
be eligible to join the 10 state MWCN listserv.
The member questions that are not being answered within the group will be shared with Mid-West Clinicians Network listserv.
Amanda Campbell the Executive Director of MWCN will provide you a brief overview.
Format Virtual monthly individual user group Go-
to-meetings.
Learning sessions will be held quarterly which will include presentation from expert and/or one of the HC’s.
The agenda will contain a mix of Clinical, IT, Billing, and Operation related topics.
Members will receive a monthly meeting invitation that must be accepted to access the user group.
