Introduction

We are excited to announce the general availability of a new release on the Xpertdoc Smart Flows

product roadmap. Xpertdoc Smart Flows 4.4 is all about better user experience, flexibility and

security. It’s the logical next step in the realization of Xpertdoc’s continuous efforts to help you

create, store and deliver better documents, faster.

Better user experience The focus of the 4.4 release is to improve the user experience. From a revamped Flow Execution

Panel to new steps available in the Flow Builder, we make sure our customers can achieve what they

want to do in the most intuitive way.

Flexibility and security Beyond the user experience, many features were added to give administrators more control over

security and thresholds.

Improvements

Flow Execution Panel The Flow Execution Panel has been completely revamped to be more intuitive.

Like modern browsers, each flow is displayed in a tab at the top, allowing you to switch between

them easily. The Flow Execution Panel is now using more room than before, which is quite useful for

large Smart Forms.

By clicking on the Home icon ( ), the following dashboard is displayed.

- Overview – Runs per status

- Flow runs waiting for my input

- My recent flow runs (can be filtered)

- Flow runs waiting for external events (e.g. electronic signature)

For Smart Flows designer and administrator, there’s now a direct link to the Flow Execution Panel

from the Project Console.

Flow Builder

New “Stop Flow” step In scenarios where a flow includes different routes or uses conditions, you may need to stop a flow,

preventing the execution of additional steps. In this version, you can now have access to the “Stop

Flow” block. As soon as the flow execution reaches a “Stop Flow” block, the execution stops.

When adding the “Stop Flow” block and selecting it in the Flow Builder, you can set its properties:

You can decide whether you want to display a stop reason to the interactive user. If checked, you can provide a specific reason. Using a “Linked Field” makes the reason dynamic. Finally, you can set the severity of the reason why the flow was stopped. The severity will be indicated in the reporting dashboard.

New “Fetch Document” step Adding the “Fetch Document” block to a flow introduces an existing document in the current

process. In scenarios where you are sending a generated document by email, you may want to also

attach additional documents already stored in the system. With the “Fetch Document” block, you

can reach these documents and add them as attachments to the email.

When configuring the “Fetch Document” block, you can reach documents using configured

connectors from the following list: SugarCRM, Dynamics, SharePoint, Xpertdoc Portal, HTTP, and File

System. Each connector has its own way of retrieving a document. For instance, fetching and

retrieving a document from SharePoint will only require the relative path.

Retrieve data based on a field The “Retrieve Data” block now offers more flexibility, allowing data to be retrieved by both ID and

field.

In previous versions, when using the “Retrieve Data” block, you needed to provide a data set. For

the “Query Type”, you can now select “By Field”; instead of filtering by ID, you can retrieve data by

applying a filter on any field of a data set.

Security and flexibility

Certificates You can now manage certificates in a Smart Flows project, under Control Panel Settings

Certificates. This is mostly useful for on-premise customers who need to trust the communication

between their core system and Xpertdoc Smart Flows.

Improved password policy Native user password policy has been improved by adding additional restrictions – minimum length,

casing, symbols, different from previous and dictionary rule. These rules must be enabled at the

server level to be enforced.

Captcha To improve security, the version 4.4 release includes an “hidden” reCaptcha implementation. When

a suspicious login tentative is detected, the system will prompt a captcha.

Limit on number of records When creating a standard data set, it is recommended to also create a sample to facilitate template

design. If the data set is pulling records from a “one-to-many” relationship, it may pull a lot of

records. In this release, you can now limit the number of child records returned in a sample. This

must be enabled on the server and the maximum number of records can be overridden by the user

when creating the sample

Flow testing Testing a flow have been improved allowing the tester to select the input and impersonate another

user.

When the test has started, you have access to the “Flow Test Execution,” which provides useful

information on the execution of the flow.

Connector Enhancements

Xpertdoc Portal Connector In version 4.4 of Xpertdoc Smart Flows, we keep improving our integration with the Xpertdoc Portal.

Sample for a Smart Form When using a Xpertdoc Smart Form data set, you can now create a sample, facilitating the template

design by giving the user the ability to preview a document using test data.


Recommended
