WELCOME!This Kenwood Academy Concert Choir Parent Handbook contains most of the information parents will need to know regarding Concert Choir procedures, rules, and expectations. This is to help keep you stay informed about what you and your student can expect this year in Concert Choir. In order to make certain that the information in this handbook has been reviewed and understood in its entirety, please sign the KCCP “Acknowledgement Form” & “Network & Parent Volunteer Form” and return each ‘completed’ and signed form to a KCCP representative at the end of this evening’s meeting. As a member of Kenwood Academy Concert Choir (KCC) your son/daughter will encounter a fulfilling and rewarding educational experience. They will work very hard and experience many triumphs, as well as some challenges; but these experiences will help to prepare them for their lives after high school.

We sincerely hope this guide will answer most of the important questions about choral fees and how to pay for them through fund-raising, uniforms, and the importance of your involvement with this parent group.

KENWOOD CONCERT CHOIR PARENTS (KCCP)HOW AND WHY MUST PARENTS GET AND ‘STAY’ INVOLVED.If you are a parent/guardian of a Kenwood Concert Choir student, you are already a member of this organization via the enrollment of your son/daughter. Getting ACTIVELY involved in Kenwood Concert Choir Parents (KCCP) will give you the opportunity to share with your child the last four years of their education, these years that go so fast and are rarely enjoyed by many parents. Your child might say they rather not have you around, but most parents actually learn that in reality they appreciate your involvement and will thank you in the future.

Kenwood Concert Choir is fortunate to have a great director, Mr. Richard Nunley. The Kenwood Concert Choir Parents (KCCP) are needed to support the director, and help with the logistics of performances, fund-raising, transporting students, uniforms and other details necessary for this choir. Concert Choir needs parents involved in order to function at its best; it is for this reason that we urge you to get involved. Join one of the many committees; we need your help. Grandparents, siblings, or any member of your family can get involved and make a difference. This parent group is a great way to meet the parents and the kids your student will be spending much of their time during this school year.

The easiest way to volunteer is by joining the monthly KCCP meetings where you will learn more about the program and where it needs your help. Please volunteer when performance dates come - Feel free to ask one of the KCCP officers: “How can I help?” We work hard, but with more hands it becomes easier and fun as you meet other parents. As a guideline, we recommend that every family contribute at least 20 hours of their time to KCCP each school year.

GENERAL INFORMATIONHOW DO I KEEP INFORMED OF IMPORTANT INFORMATION?The Kenwood Concert Choir web site is a place that you will need to visit often not only to keep informed, but also to view the most recent pictures of the choir’s activities. It is here that you will find the latest information on all upcoming events and fund-raising opportunities. Make sure to visit our web site at http://kaconcertchoir.org. You will find additional rehearsal times, schedules, this handbook, chaperone guidelines, and all parent contact information. You will also have an opportunity to sign up electronically for the mailing and call post listing via One Call Now notification system.

ACTIVITY FEEHOW DO WE PAY FOR THIS?There are many questions about the economic impact of Kenwood Concert Choir on each family. While some school programs traditionally did not have fees (or minimal fees), the Kenwood Academy High School Concert Choir program is very different. When we hear the bottom line, we sometimes wonder how we are going to be able to raise the funds needed for our children to be able to continue the pursuit of their musical interest. We do not want the economic factor to keep any student from participating in KCC. Throughout the year there are many opportunities to earn KCC fees. There are many families that do not pay anything out of pocket for their student to be in Concert Choir, simply because of their dedication and successfully participating in ACTIVE fund-raising!

WHO/WHERE CAN WE MAKE OUR PAYMENTS TO?There are several ways you can make activity fee and fundraising payments. The KCCP Treasurer is available during each monthly parent meeting to make payments to your child’s account; you may also contact the KCCP Treasurer and inform them of any payments you make to Concert Choir so that you can receive your current KCC balance and avoid any overpayments to you child’s account. You may also access your child’s Charms account 24 hours a day to receive current information about your child’s account as well and make payments electronically with your credit or debit card.

FUND-RAISINGWe have a fund-raising chairperson (Sharon Gray), dedicated to sponsoring many opportunities to earn choral fees. Some of the fund-raisers planned this year are the Taffy Apple Sale, Student Sponsorship Pledge Program, Carson’s Community Day Sales, M&M Mars & World’s Finest Candy Sales and many other fund-raisers in conjunction with KBBP (Kenwood Booster Band Parents) that are planned during the fall, winter and spring months of the school year.

The fee schedule is broken down into monthly scheduled payment amounts (June 2010 - October 2010). You can deposit smaller amounts into your child’s account ahead of the payment due dates as well. This can be done all through fund-raising so you don’t have to come up with the money out of pocket. Please see the “KCCP Activity Fee Information” handout for more details.. The best way to learn about these fund-raising opportunities is by keeping informed; and the best way to keep informed is by visiting the Concert Choir web site and attending the monthly meetings that take place EVERY third Thursday of the month during the school year. Due dates are not flexible, however unique circumstances can always be discussed and worked out with the Choral Director (Richard Nunley Jr.) or the KCCP President (Dayna Rouse).

UNIFORMSWHAT DO THEY WEAR?Uniforms are worn at every performance. Although most uniforms do not change drastically from year to year, due to the supply of certain items for re-order; we often have to make a decision to replace uniforms from year to year. This year there are several revisions to both the casual uniform and a complete change of the formal wear for all students. Below is a list of all uniforms necessary for participation (see the “KCCP Activity Fee Information” for detailed cost):★ Casual Uniform Items: All Students wear: Red long-sleeve oxford with embroidered logo or French Blue short-sleeve

oxford with embroidered logo with uniform blue jean pants (ONLY). Male Students wear: Black loafer shoe; Female students wear: Black flat shoe.

★ Dress Casual Uniform Items: All Students wear: French Blue short-sleeve oxford with embroidered logo. In addition: Male students wear: dark blue cardigan with logo, blue uniform pants, blue bow tie & Black loafer shoe. Female students wear: red cardigan with logo, blue plaid uniform skirt, uniform socks & Black flat shoe.

★ Formal Wear Uniform Items: Male Students wear: Black Tuxedo with bow tie/vest; and Female Students wear: Royal Blue Formal gown

★ Additional Accessories: Female students: dress casual socks, jewelry set (earrings, necklace & bracelet); Male students: Holiday performance socks

TIPS FOR PARENTS:★ Additional Uniform Compliance: Male and female students are required to wear designated uniforms for ALL

performances. In order to maintain a low uniform budget, we are ask parents of male students to ensure each young man utilizes a black belt and a pair of black socks they already own. Male students must wear T-shirt/undershirts under uniform shirts. Parents of female students: young ladies must wear black undergarments ONLY when performing or the student will be fined approximately $10 for each occurrence of non-compliance. In addition, all female students MUST wear flesh tone hosiery with formal wear or the student will be fined approximately $10 for each occurrence of non-compliance. Lastly, female students are encouraged to wear black foundation garments (i.e. female under garments, body briefs, girdles, spanxs, etc.) underneath their formal gown to assist in maintaining a proper fit of the dress. NO white socks will be allowed during performances. Non-compliance during performances is subject to a fine of $10 or more per violation. Parents, please encourage students to come ‘fully’ prepared in their proper uniforms ‘each’ time he/she performs.

★ Jewelry: Students are NOT allowed to wear personal jewelry during performances. designated uniform jewelry will be supplied at each performance for casual wear and formal wear. To prevent the loss of jewelry, students are not permitted to take jewelry home. It must be returned to a KCCP representative at the end of each performance or the student will be fined approximately $5 for each occurrence of missing jewelry items or full cost.

★ Fines: Parental Signature of the “Consent Release & Liability Form” constitutes acceptance of all policies.★ Responsibility: Make certain your son/daughter is prepared for performances. They must take accountability and

become responsible regarding their behavior, appearance and overall professionalism inside the classroom and during performances. Parent chaperones should NEVER have to consistently speak with your child concerning his/her behavior. (*see non-compliance fines schedule for details)

★ Networking: This is how we get to know other as parents. It is also one of the best ways to get information regarding the choir. Also, for those of you who utilize Facebook and Twitter social networking sites, KCCP is available on both networks (please complete the “KCCP Consent & Release Form” and see the “KCCP Contact Information Form” for details). Please be sure to update your information at our monthly meetings. You may also sign up for the E-mail and SMS text message notifications listed on the KCC website.

THE PROGRAM:

The Concert Choir Grade Incentive Program allows students who are selected to participate in the Educational Tour, an opportunity to reduce the cost of the tour by achieving academic excellence in addition to fund-raising efforts. All students are expected to participate in the tour unless otherwise stipulated by the choral director, Richard Nunley Jr.

TO QUALIFY:

To qualify for the incentive program, the student’s parent(s) and/or guardian(s) MUST:

Parents MUST complete all the necessary forms included in this informational packet by the September 16, 2010 monthly parent meeting deadline. If this information is not received, the student will only qualify to receive 50% of the incentive.

Pay the remaining balance of the $500 Activity Fee on or before the October 21, 2010 monthly parent meeting deadline.

Pay the 50% of the required balance ($500) for the tour on or before the January 20, 2011 monthly parent meeting deadline. (If you do not pay the initial deposit of $100 - student will not be eligible for this incentive deduction)

Students must have good attendance (no more than 3 days for the first semester) and NO suspensions. In addition to student attendance, the parent must attend 80% of the KCCP monthly meetings (8 out of 10) for their child to qualify. Documented evidence of attendance will be taken at each meeting. Therefore, please be sure to sign in at every parent meeting. If you qualify for the incentive and your attendance decreases prior to the tour date, the student will ONLY qualify to receive 50% of the incentive reward.

Students who do not meet the above requirements may request a formal hearing by the Concert Choir Officers and Executive Committee Members to appeal a decision. In order to request a formal hearing, a parent and/or guardian must fill out the necessary KCCP Appeal Form and be present at this hearing as well. Hearings are only held after the conclusion monthly parent meetings.

ACADEMIC INCENTIVE:

Students who meet all the criteria above and receive ALL “A’s”, on their “first semester“ report card (first & second quarter grade report prior to tour), may participate with all expenses paid “FREE”. Students who meet all the qualification criteria and receive grades of “A” or “B” may deduct $25 for each “A” received and $15 for each “B” received on the first semester - first & second quarter grade reports (Only core subject courses; Physical Education, Art, Foreign Language and Choral grades do not apply). Students who are frequently absent or tardy or have negative behavior with ANY staff and/or teacher WILL NOT qualify.

PLEASE NOTE: Students/Parents may request this incentive by completing a KCCP Tour Incentive Application in it’s entirety. This incentive application will be distributed at the December 16, 2010 parent meeting or available for download as well. You must submit your request at the Thursday, January 20, 2011 parent meeting along with a copy of your student’s ‘first semester’ grades (which will be distributed on Wednesday, January 5, 2011). Once the grades, attendance and participation are evaluated, a formal hearing by the Concert Choir Officers and Executive Committee Members will be held at the February 17, 2011 monthly KCCP Executive Board meeting to validate their eligibility. Notifications of approval will then be given to the parent in writing immediately following the February 17, 2011 KCCP meeting. Request forms must be submitted at the January 20, 2011 meeting to qualify. All forms received after the January 20, 2011 parent meeting will ONLY be eligible for a 50% discount incentive of the tour fee.

The Concert Choir Uniform & Discipline Non-Compliance Fee Schedule is in place to maintain a standard of excellence for members of this choir. All students are expected to comply with UNIFORM & DISCIPLINE COMPLIANCE GUIDELINES.

DISCIPLINE:

Student’s MUST:

Take accountability and to become more responsible regarding their behavior, appearance and overall professionalism inside the classroom and during performances. Parent chaperones should NEVER have to consistently speak with your child concerning his/her behavior.

Come to class each day with a GOOD ATTITUDE, ready to learn and interact positively with their fellow members.

Maintain a 2.8 GPA. (Students who fall below this average and become suspended, may request a formal hearing by the Concert Choir Officers and Executive Committee Members.)

Have good attendance (no more than 3 days for the first semester) and NO suspensions. (Students who are suspended may request a formal hearing by the Concert Choir Officers and Executive Committee Members.)

Come prepared for each performance in their proper uniform attire.

Provide and update KCCP representatives of their contact information and sign up for the One Call Now sms text-messaging system to receive important updates concerning the choir.

Parent(s) and/or guardian(s) MUST:

Complete ALL required forms for their child’s participation on or before the September monthly parent meeting deadline.

ACTIVELY participate in fund-raising activities.

Pay the KCCP $500 Activity Fee on or before the December monthly parent meeting deadline.

Attend a minimum of seven out of the ten mandatory KCCP meetings to ensure they are aware of all important news and updates concerning the choir.

Provide and update KCCP representatives of their contact information and sign up for the One Call Now sms text-messaging system to receive important updates concerning the choir.

NON-COMPLIANCE NOTICE:

Students who fail to meet the above requirements may jeopardize their ability to actively participate as well as incur fines charged to the student account and WILL NOT become eligible to attend Spring Tour unless certain KCCP Executive Board Compliance Guidelines are acknowledged and met. An official hearing will be required in order to obtain permission to attend Spring Tour. The parental/guardian of ineligible students may be required to attend Spring Tour in order for this exception to be considered for students who have exhibited ‘non-compliance’ of the KCCP Uniform Compliance Guidelines.

PLEASE NOTE: Students/Parents may request a formal hearing by the Concert Choir Officers and Executive Committee Members to appeal any fees they feel were charged during the March 2011 KCCP meeting. Request forms must be submitted at the February 2011 meeting to qualify. Parents who have not attended a minimum seven of the nine scheduled parent meetings must have been in attendance in order to qualify for appeals.

How to access parent information

★ Log on to http://www.charmsoffice.com

★ Locate the “PARENT/STUDENT LOGIN” section of the web page.

★ Login to your child’s program account using the following login: KACC

★ You may also login by typing or pasting the following url into your browser:

https://www.charmsoffice.com/charms/parents.asp?username=KACC

★ This will bring up the main parent page. This will allow you to look at your child’s program calendar, event list,

handouts and SmartMusic files.

★ Clicking on an event on the calendar brings up the details for that event, such as times, attendance requirements

and equipment/uniform necessities. Clicking on “event list” puts all of the calendar information in a list form for easy

printing.

★ When you enter your child’s CPS ID NUMBER ______________, another more detailed screen appears with even

more options to view your student’s uniform assignments, music assignments, financial records, forms and

inventory.

★ Two areas in which you can help the director and KCCP volunteers maintain records:

• Student information form - if the director has allowed it, you may help make changes to your child’s student

information page (such as updating phone numbers and email addresses if they change) to help the teacher

communicate with you more effectively.

• Credit card payments for fees, trips and deposits to your student’s account. If the director has created a

PayPal account for the booster club or school activity account, you may pay for your child’s fees or trips easily

with a credit card.

• Most importantly, the parent page assists both you and the teacher to communicate with each other.
