A doctoral school is a federation of research units around a given scientific discipline

The doctoral school : its missions

The doctoral school is responsible for all the questions related to the doctorate Its missions are specified by a ministerial decree (August 7, 2007)

ü Implement a policy of PhD students recruitment established on explicit and public criteria

ü Make sure of the quality of the supervision by the research teams and the respect for the doctoral charter

ü Organize scientific and intellectual exchanges between the PhD students

ü Propose to the PhD students trainings useful for their research project, their scientific culture and also their professional project

ü To follow the PhD students in the preparation of their professional project and afterwards in their professional career

ü Bring an international opening by promoting theses in cotutelles

At the UPMC, the doctoral schools can lean on the Institute of Doctoral Training (IFD, Institut de formation Doctorale), that gives support structure with respect to the doctorates' professional outcomes via specific trainings.

ü  The doctoral school is run by a director assisted by three councils.

ü  The governing council : identifies the pedagogic options of the doctoral school Include elected representatives of the PhD students . You will be asked to elect your representatives every year. ü  The scientific council (« bureau »): defines the scientific policy of the school and

establish the distribution criteria for doctoral contracts. Composition : 10 members - representatives of research teams ü  The pedagogic council : monitors the training courses and the PhD committees,

organises scientific events

The follow-up of the research project : thesis committee

Composition of the thesis committee ü  a tutor ü  a scientific expert ü  a doctoral school representative ü  your supervisor

The tutor and the scientific expert are proposed by the student and the supervisor to the doctoral school The doctoral school validate the proposition and appoint the DS representative You have to submit the names of your tutor and scientific expert before the 15 of January 2015

Twice during your PhD, you will present a progress report on your work to a thesis committee Objectives : - to verify that the project is being implemented correctly and to propose orientations for improvement. - to review not only at scientific level but also with respect to your integration in the team and the actions set up with respect to your professional project.

First meeting : beginning of the 2nd year (sept-nov 2015) Second meeting : second trimester of the 3rd year (february 2017) Additional meetings can be organised if needed

The PhD student is in charge of the organization

He/she must contact people in advance to set a date (at least 2 or 3 months before, scientists are often overbooked !)

One week before the meeting, the PhD student should send a progress report to all members of the committee (specific form, to be downloaded from the web site) Meeting schedule : the PhD student presents her/his results and future work

It is followed by a scientific discussion Identification of the needed trainings Interview of the PhD student in absence of the supervisor and vice versa versa

A report is written by the doctoral school representative (specific form, to be downloaded from the web site) and transmitted to everyone (PhD student, members of the committee, doctoral school).

ü  Each year, PhD students representatives with the pedagogic team of the doctoral

school organize for all the PhD students, a congress during which oral communications and posters are given by PhD students (2nd and 3rd year)

ü  PhD students can invite scientific personalities to give a conference ü  A prize is given to the best poster

Continuing training

ü  You have to elaborate an individual continuing training plan in support of your research project and of your professional project

ü  The objective is to consolidate and develop skills in different fields: scientific

technical organizational relational managerial, etc….

ü  Training courses are organised: - by the doctoral school and its partner Institutes – list on the DS

web site, mainly scientific and technical aspects - by the IFD (Doctoral Training Institute, Institut de Formation Doctorale)

Continuing training

ü  How to apply to the training courses ? - Training courses organised by the doctoral school : Contact directly the person in charge of the course (names on the web site) - Training course from the IFD : Once a year in november: fill your PIF form with your chosen courses and send it to the doctoral school for validation. Once validated, contact the IFD for registration to the course.

ü How many training courses do you need to follow ? Minimum required : 100 hours in total. The doctoral school will not authorize registration to the IFD courses for 4th year PhD students.

The defense

You can start the procedure when you have at least one paper first author published (or submitted) in an international scientific publication.

The whole procedure will take not less than 2 months. You should plan your

defense BEFORE the 30 of september (otherwise, you need a new registration)

Procedure

You propose to the doctoral school a thesis defense board Once accepted you can send your manuscript to referrees The referees should send their report to you and the doctoral school

(at least 3 weeks before the planned defense date) On the basis of the reports, the thesis defense is (or is not) authorized.

If the referees ask for modifications, you have to make the corrections before the defense. The defense can be possibly postponed. .

Should follow the rules of the ministerial decree

ü  Between three and eight members ü  Half of the members are from outside the doctoral school and UPMC ü  Half of the board consists of professors or equivalent ü  The board includes a UPMC professor (or equivalent) in addition to the thesis supervisor, if present. ü  The referrees : - are necessarily to be from outside the doctoral school and UPMC (or your Institute) , - should be accredited to manage research (HDR) - should not have collaborated with the team

- should not belong to your thesis committee

Composition of the thesis defense board

You need to ask for a “dérogation » for a registration in fourth year In April You have to send an application to the doctoral school with :

- your thesis committee report - a precise schedule of the end of your thesis - the financial support envisaged

In May The doctoral school says Yes or No BUT you will be able to register at the University ONLY WHEN YOU HAVE the PROOF of YOUR FINANCIAL SUPPORT September-October : Registration to the University (Scolarité) (required a complete application file)

Your thesis should be completed in three years but sometimes…… you need a few more months

You will not be allowed to register for a fifth year (except for medical reasons)

ü  It is important to diffuse your work as much as possible !

ü  With your authorization and in the absence of a confidentiality requirement, your thesis will be reproduced and circulated in microfiche form to all the university libraries in France and to the libraries of the major scientific institutions.

A graduation ceremony

Each year, in June, a graduation ceremony is organized. This is the opportunity for the UPMC to congratulate all new doctorates in the presence the doctorates' advisors and the doctorates’ family and friends.
