INTRODUCTION TO INTERNSHIP TRAINING

Introduction

Master of business administration (MBA) is a two year course designed to create more

job opportunities for students .This course aims to produce professionally competent post

graduates who could be easily absorbed in the world of work on the completion of their

studies.

As a part of the curriculum we have to undergo an organization study for a period of four

weeks. This study aimed at creating an opportunity for the students to observe, learn and

assimilate and analyze the objectives and vision of the organization and functioning of its

various departments. This would enable the student to get a practical and real time feel of

various aspects concerned with the organization and relate it to the concepts and theories

studied so far in the class room.

“An internship is a professional learning experience, in which students can apply their

skills and knowledge in a professional way”. By offering their time, talent, and enthusiasm,

internship provide students with a full and realistic view of work place culture and expectations.

Internship is a system of on-the-job training for white collar jobs, similar to an

apprenticeship. Interns are usually college or university students, but they can also be high

school students or post graduate adults seeking skills for a new career; they may be also be as

young as middle school students in some areas. Student internship provide opportunities for

students to gain experience in their field, determine if they have an interest in a particular

career, create a network of contacts or gain school credit. Internships provide employers with

cheap or free labor for (typically) low-level tasks. Some interns find permanent paid

employment with the companies in which they interned. Their value to the company may be

increased by the fact that they need little to training.

An internship may be paid, unpaid or partially paid (in the form of a stipend). Paid

internships are most common in the medical, architecture, science, engineering, law, business

(especially accounting and finance), and technology and advertising fields. Internships in

nonprofit organizations such as charities and think tanks are often unpaid, volunteer positions.

Internships may be part time or full time; typically, they are part time during the university year

and full time in the summer, the, usually last 6-12 weeks but can be shorter or longer based on

the company for which they intern.

The act of job shadowing may also constitute interning.

Internship positions are available from businesses, government departments, and

nonprofit group organizations. Due to strict labor laws, European internships are mostly unpaid,

although they are still popular among non Europeans in order to gain international exposure on

one’s resume and for foreign language improvement.

Scope of the study

The scope of the study means the area that was considered for the study. This study is

dealing with all the departments of the organizations. That is purchase department, production

department, marketing department and human resource department. This study will helpful to

study the functions of each department in the viswakeethy herbals India private limited.

Whatever the students witness in the classroom or during training is being applied in

real world situations.

Students will know more about a specific industry/field.

They will able to justify career choices.

They will gain work experience and develop professional competence.

They will become familiar with specific work functions and learn about career related

skills.

Develop confidence, assertiveness, and decision making abilities

Work as a part of a team

Objectives of the study

To provide basic background instruction to help interns prepare for business/industry

occupations and related professions.

To facilitate the transition between school and employment.

To provide training stations for interns to practice skills and attitudes learned in the

classroom.

To provide interns with practical experience that will help make their classroom

instruction more meaningful.

To provide an opportunity, through the use of local business, for interns to acquire skills

and knowledge that are best developed on the job.

To emphasize to interns the importance of being able to follow directions, pay attention

to details, and accept supervision.

To foster and understanding in interns of the benefits and responsibilities of gainful

employment.

To provide interns with the ability to keep up with changing world of work by putting

emphasis on problem-solving, thinking, and decision-making.

HISTORY OF THE INDUSTRY

Ayurveda, a Sanskrit word meaning the “knowledge or science of life” is the traditional

healing method of India, and in almost as old as Indian civilization itself. In keeping with

Ayurveda holistic approach to the system that has evolved thought millennia of Ayurveda

teaching aim not only to cure disease itself that also to ensure that those who receive its

treatment enjoy a healthy, well-balanced life, both physically and mentally. Ayurveda is based

on ‘Panchabhuda’ and ‘Thridosha’ theories. This unique living system considers man as a

balanced composition of body, mind soul. According to Ayurveda, good health in the

harmonious co-existence of three elements, any disharmony a month they cause diseases.

History of Ayurveda can be prescribed in different periods, the earliest being Vedic

period. This is the period when the Aryans complied for Vedas of sacred books of knowledge

during the period 1500 to 800 B.C. amongst them rig Veda and atharva Veda have made the

maximum reference to the healing art. They have in these texts mentioned in detail the

methods of preservation of life of illness and healing of the stick.

The period which can be named as the period of classical Ayurvedika texts starting from

6th century B.C. to 100 A.D. Three great authors compiled their classical books during this

period. They were Chraka, Susrutha, and Vagbhatha.

After conquest of Alexander in the GREATEIN 4century B.C. a contact with India was

established and Indian medical science is came the part of Greek heritage. During Islamic period

Indian medicine was a powerful stimulus in the development of Arabic medical science. Several

scholars from china, Tibet, and from other far eastern countries came to India to study

Ayurvedic medicine at Nalanda University. Ayurveda medicines during this period was not only

flourishing under the full patronage in India but was also able to receive similar patronage from

king of the neighboring countries.

It is interesting to note that in the early part of British regimen an attempt was made to

receive Ayurvedika systems of medicine, however static it may be, still claimed a major share in

the public medical relief.

Hence in early part of 19 th century they started a school of native doctors at Calcutta on

modern line. The Britishers was not satisfied with the work done in this school. Hence in 1835

this school was abolished and a modern medical college was opened. Thereafter, theories of

Ayurvedika medicines were taught in various Sanskrit collages.

After extensive studies, the chopra committee recommended as follows “ayurveda is not

only an original science of medicine but also a rish store house of principles as generalization of

medicines which can be a great value to the modern science in general and medicine in

particular”. This committee did not believe that there should be separate system of western as

Indian systems of medicine. Science is universal and medical science is not expectation to this

rule. The aim of this system is maintenance of health and prevention and cure of disease. The

committee felt that Indian medicine can take much of the practical experience from western

medicine, as well as western medicine can learn much from the comprehensive philosophical

background of Indian medicine, keeping these principles in view, the committee gave detailed

suggestion as to how to implement their recommendations.

In 1958, however, the government of India appointed another committee with Doctor

K.N Uduppa its chairman mainly to evaluate Ayurvedika research in this country. This

committee along with the Ayurvedika research also dealt in details with Ayurvedika education,

this practice also the standardization of drugs used in practice. Even this committee

recommended the integrated type of training in Ayurveda in corpora ting the essentials of both

modern and Ayurvedika subjects. The committee also recommended the establishment of

three more postgraduate and research centers in the country to hasten the scientific research

in Ayurvedika on modern lines.

Further, in order to supervise and regularize education and research in Ayurvedika, this

committee suggested the establishment of central council namely, the central council of India

medicine and central council of ayurvedika research. In addition, a central committee to

standardize the manufacturers and sale of Ayurvedika medicines in the country was also

recommended. It was threatening to learn that most of these recommendations were asserted

by the government of India in the next few years .At present for the regulation of education of

Ayurvedika systems of medicine the government of India has constituted the central council of

Indian of medicine similar to the acts of medical council of India. Further, they had also taken

several measures to standardize the manufactures of Ayurvedika medicines. The government

did not accept the main recommendation of integrated training but accepted the secondary

recommendation viz, exclusive training in Ayurveda.

However, the Ayurvedika system of medicines is not passing through an active phase of

revival and development is hoped that Ayurveda will be contributing a great deal in the

development of a comprehensive national system of medicine.

ORGANAISTIONAL PROFILE

M/S Viswakeerthy Ayurvedic pharmacy is famous Ayurvedic medicine manufacture in

Malappuram district of Kerala, which is hardly 52 kms drive from Calicut. It is a proprietary

concern owned by Dr.Mohammed kutty D.A.M (from kottakal Ayurved College). He is the chief

physician of viswakeerthy Ayurvedic pharmacy. This unit is established in 1977 as a fledging

pharmacy, viswakeerthy today is one of the largest manufactures of ayurvedik medicine with a

formidable presence all over Kerala.

The company was mainly catering to the needs of some parts of Kerala market. At

present this unit is having three branches at Tirur, Puthanathani and kadungathundu; all the

branches are well going. This unit is the driving force being this venture and has decided to

market the entire products of viswakeerthy herbals (India) Pvt Ltd on a long time basis to cope

up with their demand.

The awareness of the safety aspect and other benefits of Ayurveda are tremendously

increasing all over the world, especially in India. So, also the demand for quality Ayurvedic is

increasing. The present facilities available in the country are unable to meet with ever

increasing demand. Being the traditional indigenous medical system the faith in Ayurveda has

also been a very influencing factor among people. Unlike in the use of allopathic drugs the

preventive, curative and restrictive nature of these medicines without any side effects or

reaction is another favorable factor for the enhanced sale of Ayurvedic prep rations. More over

the existing manufactures in India are not able to meet the increasing demand.

After gaining the foot holds in the market the demand for the medicines multiplied so,

there arose a need to increase the manufacturing capacity thus through a tie up of board of

directors, the company came out with a second unit namely “viswakeerthy herbals (India) Pvt

Ltd” which right from the day one of inception is P.v.t L.t.d company having active participation

of K.S.I.D.C (Kerala State Industrial Development Corporation)

The organization on- viswakeerthy herbals (India)P.v.t L.t.d has deep interest and rich

experience in Ayurvedic medicine manufacturing; besides having organizational affaires.

The main raw material required for this industry is collecting in forests, mainly

Tamilnadu, Vayanad, Kozhinhampara and Idukki forests. Cru drugs collect in Madhya Pradesh,

Gujarat, Calcutta, and Punjab.

TRANSPORTATION

Good road and railway facility are available for the transportation of purchase of raw

material marketing of finished goods.

ATMOSPHERIC POLLUTION

There will be no atmosphere pollution in this unit. Because this is a herbal factory and

good atmosphere

SELLING ARRANGEMENTS

This unit very many ready customers. There are 120 agencies, sales outlet are 250

parties and 2 managers in home district. In other districts there are two distributors and 6

representatives.

WORK AND LABOUR

It is proposed to be working on day’s basis. The company provides direct employment

out of these workers, 9 workers are skilled other workers are unskilled, more of them are

female and they are locally available.

MARKETING DEPARTMENT

Marketing is one of the key elements which determine the existence of any

manufacturing venture on the basis of the information it creates a desire in the minds of the

public to purchase them. The department collects the order from consumer and distributes the

goods to them. Their job ends with collection of payment.

The marketing department is controlled by marketing manager. Two regional sales

managers are appointed to assist the marketing manager. The representatives collect the bulk

order from the market and place it to the company. The order form consists of three copies.

One copy is given to the dealer, other to the chief accountant and the third copy is keep with

the marketing department. Viswakeerthy Herbals (India) Private Limited sells its product

through the dealers and agents directly. The company has three agencies at Tirur,

Kadungathukundu and Puthanathani.

The main functions of marketing department are started from the product development

to after sales service. Commonly major function of marketing department is based on the

marketing mix of the firm like product, place, and promotion. Here the main functions of

marketing strategies for the smooth delivery of viswakeerthy product. So the marketing

department of viswakeerthy is highly concentrated for the formation of good strategy based on

the marketing mix like development of a good product, proper distribution strategies for

improving marketing strength of the firm.

division. The company is planning to initiate steps towards this project in the near future.

Viswakeerthy Herbals (India) Pvt. Ltd, well equipped manufacturing unit, produces a

wide range of genuine Ayurvedic medicine and allied products. Each of them conforms to

higher quality standards and enjoys enviable market reputation. To ensure the therapeutic

value of the medicines and products every care has been taken in selecting raw material,

processing and packing. Medicines are prepared in the most traditional ways as lay down by

the rishis, under the most hygienic conditions. Modern technology is also used were ever it will

not affect the product quality. Viswakeerthy Herbals (India) Pvt Ltd is a rapidly growing firm,

producing more than 250 traditional medicines and innovative patented products.

Production is the most important function of production management, because it

occupies a major of the company’s finance and also it effects the position of this company.

Production department is considered as the heart of any industry. The production department

has the responsibility to produce quality products at lower cost. The head of this department is

called production manager. The production function requires professional knowledge and skills.

In a manufacturing organization almost 50 to 60 percent of its expenditure are incurred or

materials. So the production department is the biggest spending department in all organization.

Viswakeerthy Herbals (India) Private Limited makes profit against order. After receiving order

they determine batch size of quality drugs.

PREPRATION OF BUDGET

Before starting the production, the first step is preparing the budget for the production.

The production manager should prepare a product budget for coming financial to taking in to

consideration of very of factors. Some these productions functions are, production of target,

the financial capacity of the firm, demand for the products, market conditions etc. then it is

submitted to the board of directors. The board of directors takes financial decision.

PREPRATION OF BATCH SIZE

In viswakeerthy Herbals (India) Private Limited production is based on the principle of

made to order, after on the order they decide the batch size of the production. Batch sizes of

each medicine are different from one another. Batch size includes the rate of output.

SELECTION OF SUPPLIER

After preparing the batch size, the next step followed is to explore the source of

supplier and select suitable one. More importance is given to the quality of raw material than

its price. As such, to ensure the best quality, items will be produce from the original sources.

Viswakeerthy Herbals (India) Private Limited has got a regular list of suppliers for most of their

raw materials. . Viswakeerthy Herbals (India) Private Limited collects raw materials directly

from local out lets, but in some cases certain raw materials are purchasing from outside of

Kerala. For selecting suppliers, some of the factors that are taken in to consideration are:-

Price, quality, nature of material, made of delivery, method of packing, terms payment etc.

RECEIVING AND INSPECTING MATERIAL

There is no separation receiving department in Viswakeerthy Herbals (India) Private

Limited. The materials are received by the clerk, while receiving; they should check quality and

quantity of materials received. The materials like oil, honey, and ghee are checked in

laboratory. After inspection the clerk prepare goods received.

The goods received note contains serial number, date supplier name, reference number,

voucher number, material code, number of units ordered, accepted unit rate, delivered,

rejected, amount, signature of clerk, manager seal and initials.

PRODUCTION SECTION

In Viswakeerthy herbals are many sections for production. They are:

1. Store Room

It is a space for storing the raw materials for production.

2. Powdering

It is a system of powdering the dried medical plants.

3. Cutting Room

It is the room, which is used for cutting the medical plants of the medicines.

4. Kitchen

This is the section used for prepare the medicine

5. Fermentation

It is the section, which used in keeping the medicines in tank for many days to make real

medicines.

6. Packing

It is the section, which is used for pack the prepared medicines.

It is the room for shaping and packing the pills.

It is the section for labeling, and covering the material.

FUNCTIONS OF PRODUCTION

1. Receiving

It is one of the important functions of production. Receiving procedure is the first

function of manufacturing the product. It is mainly used for receiving the approved drugs or

rejected once.

2. Mixing

It is another important function of production. Mixing procedure is the second function

for manufacturing products. It is mainly used for mix the old medicine with other medicines in

order to produce an important sample medicine.

3. Processing

The function includes the conversion of mixing products in to finished group. Processing

is the central function of among all other function.

4. Packing

Packing is the sub function of packaging. It is the process of converting or wrapper the

goods for the purpose of delivering the articles to the consumer or for the purpose of transport

and wrapper or cover should contain all the information about the product and also its feature.

It involves transformation of input in to output. The production process is different

from industry to industry. In viswakeerthy Herbals (India) Private Limited the ancient Ayurvedic

system is used in production.

Viswakeerthy Herbals (India) Private Limited has a purchase department. The purchase

department is controlled by purchase manager. The raw materials are purchased from existing

executives. The executives have to prepare three copies of purchase order. One copy is given

to supplier, other to the accountant and the third copy is given to the purchase manager. The

raw materials that are the medicinal plants purchased from local suppliers. The raw materials

like kasturi, kunkumam, etc are purchased from the outside Kerala. The packing material such

as cover, jar bottle is purchased from Calicut. When the raw material is purchased, goods

received report is prepared by the clerks. It contains serial number, voucher number, material

code, number of units ordered, delivered, rejected, accepted, unit rate, amount, signature of

clerk and manager seal and initials.

PURCHASE PROCEDURE

Purchasing is a crucial and important activity; it should be properly done because

excess and shortage of purchase will lead to so many problems. The functions of purchase

department are to decide on what to purchase to perform this function effectively. The

purchasing department has to follow the following procedure.

1. Receiving the Purchase Requisition.

2. Choosing the suppliers and sources for supply.

3. Preparation of purchase order.

4. Receiving and inspecting materials.

5. Payment.

1. Receiving Purchase Requisition

A purchase acquisition is a formal request to the purchase department to purchase

materials. It is prepared by the store keeper for regular items and the department head also

prepare it for special materials. There are so many items of materials are purchased. Some

of them are kanmadam, kayam, kunkumam, Dasamulam etc.

2. Choosing the Suppliers and Sources for Supply

After receiving the purchase requisition another step is to arise selecting the source

of supply. The purchasing department is maintaining a list of supplier’s names and address

of every group. The selection is to be made after choosing and considering the quality of

materials, price, term, conditions, term of delivery etc. The concern chooses their supplies

from various cities and states like Calicut and from other states like Karnataka, UP etc.

3. Preparation of purchase order

After choosing the supplier Mr.Asif, the purchase manager of changampally prepare

a purchase order for the supply of materials. Purchase document is the written

authorization to the suppliers to supply the purchase materials.

4. Receiving and Inspecting Materials

The incoming materials are received by stock keeper and experienced person called,

controller, who certifies the quality, quantity, physical condition of the materials, this was done

in Viswakeerthy purchase manager. Mr. Basheer, he checks the material and defected are

returned to the supplier.

5. Payment

After checking the material, the invoices is received from the supplier, it is send to the

accounting section passes it for payment, payment is made to the terms agreed in this

organization payments are made monthly.

FINANCE DEPARTMENT

Finance is the backbone of business. To make the back bone straight the finance should

be efficiently utilized. Finance department is one of the most important departments of an

organization. This department meets the fund requirement at all department. Finance is

essential because finance is said to be the life blood of business.

CAPITAL

The company was started with 90 lacks investment. Out of 90 lacks, 40 lacks is invested

by the board of directors from K.S.I.D.C (Kerala state industrial development corporation)

another 40 lacks termed by term loan. And the remaining 10 lacks is the working capital which

is received from canara bank.

The finance department is controlled by the finance manager, under finance manager

there is chief accountant. The clerks are appointed to assist the chief accountant. The clerks

maintain the accounts.

Finance is the life blood of business. It flows in mostly from scale of goods and service. It

flows out for meeting various types of expenditure. The activating element in any business

which may be on industrial or commercial undertaking is the finance.

BUSINESS FINANCE

It has been defined as those activities which have to do with provision and management

of funds. The satisfactory contents of business finance are defined as that business activity

which is concerned with the acquisition and conservation of business enterprise.

So we can say business finance is mainly developed around three major objectives.

Firstly, to obtain and adequate supply of capital for the needs of business, secondly, to

conserve and increase the capital through better management, thirdly, to make profit from the

use of funds which is and overall objectives of business enterprise.

ACCOUNTS

The company prepares all types of accounts. The company also uses computerized

accounting software like tally. The accounts Computerized accounting software like tally. The

accounts prepares in the company are;

A) GENERAL LEDGER

General ledger includes separate accounts for all items. A brief sundry creditor and

sundry debtor account is also show in general ledger. The two aspects of the transaction are

entered in the related account in the general ledger.

B) SALES DAY BOOK

Sales day book includes all sales in a day. The information is obtained from the invoices.

It involves details such as bill amount, sales amount, sales tax, invoice number etc.

C) PURCHASE DAY BOOK

Purchase day book includes all purchases made in connection with production when a

purchase is made, then the debit the purchase amount and credit the sundry creditor’s

account, under which the narration is written. The information about purchase are received

from the goods received note and bills.

D) CASH BOOK

Cash book contains all such payment and receipts. A separate column is provided on

each side for bank transaction. Remittance to the bank is debited and withdrawals are credited

in bank column of cash book.

The ledgers are prepared for sending reminders and calculating sundry debtors. At end

of every month, the company prepares a list of sundry debtors on the basis of which the

company sends reminders to the respective person.

F) SUNDRY CEDITOR LEDGER

All purchases are treated as credit purchases and so that all purchases are entered

in to sundry creditor ledger. Sundry creditor ledger is prepared mainly to find out the list of

persons who stand as company’s creditors.

HUMAN RESOURCE DEPARTMENT

Human resources are the assets of the organization. Without human beings resources

like money, material and machineries cannot be utilized. They would remain idle. They will not

themselves produce everything. The efficient performance leads to achievement of

organizational goal.

In viswakeerthy Herbals (India) Private Limited human department is controlled by the

human resource manager. The PRO (public relation officer) comes under human resource

manager. PRO gives necessary advice to the workers at the proper time.

This department is responsible for the recruitment, training and development, wages and

salary administration and industrial relations. This department takes care of the most important

asset of the company. it also forms the formal procedures and practices for all employees of

the organization.

ATTENDANCE

The company uses the attendance register to mark the attendance of the employee.

RETIRMENT

The retirement age in this company is 55 years. The company also appoints employees

above 55 years by considering their experience and performance.

APPOINTMENT

The company appoints the employees through recruitment. The recruitment is done by

publishing advertisement in the news paper. After that the company may select some

conditions. Then after checking the reference the employee is appointed.

TRAINING

In viswakeerthy Herbals (India) Private Limited the newly appointed employees have to go

undergo training. The training process is done in two phases. The duration of training process is

two years. The company will evaluate the employee’s performance. In two years if it is

excellent, the company will give a permanent job to the employee. During the training period

the trainees are given stipend.

WAGES AND ADMINSTRATION

The employee of viswakeerthy Herbals (India) Private Limited gets reasonable

remuneration which is the best in industry. It ensures full co-operation of employees. The

employees are paid by taking in to considering the number of days worked. The workers are

provided and average of rupees 4000 as wage and average of rupees 4500 is paid as salary to

staff.

company certain allowances the ESI (employee state insurance) provide medical allowances

and insurance allowances. The company has to pay an amount of 6.75% of employee’s salary or

BONUS

The company allows one- day leave for every 20 days of work. The company has 13 holidays.

The company also allows medical benefits.
