What are Team Carts?Team Carts are shopping carts that can be viewed, accessed, or confirmed by multiple requisitioners.
Team Carts are set up in the Settings section of Shopping Carts.
Individual Settings must be completed by every team member to view each other’s carts.
During the creation of a shopping cart, a button must be checked to make the cart a team cart.

After the Personal Settings window opens…Click the Edit button

Click the User Account tab

In the My Procurement Substitutes section, click in the Name of Substitute field; then click the search button to the right of the field.

The Name Search box will open.
Type the team person’s last name using an * before and after their name. Then click Start Search.

The results will return.
Click once anywhere in the line to return the selection.

Click the Start Substitution On field and enter the date or click the search field to choose the date.
Do the same with the End Substitution On date.

Click Add Line to add another team member if necessary.
Follow the same procedure for all of the substitutes.

Click the Save button at the top or bottom to save the data.
NOTE: Your Procurement Substitutes and those who have you as Substitutes (Persons I Represent As Substitutes) will be listed.

A message at the top of the screen will confirm that your data has been changed.

Points to Remember
It is necessary to complete your Settings for other people to access your carts.
If you want to see someone else’s carts, they must set you up as a procurement substitute in their settings.
You can establish time frames on substitutes for carts.
You can remove substitutes for carts.

Creating a Team CartWhen you are creating a shopping cart, check the “Make accessible to my Purchasing Substitutes“ button so that the substitutes you identified in your User Settings can view the cart.

Accessing Team CartsThere are two ways to access Team Carts
1. Access your own Team Carts: This procedure is used for viewing carts that you checked to be made accessible as Team Carts.
Note: You cannot access Team Carts that you created and your Non-Team Carts in the same list. You must uncheck the “Show Only My Team Carts” in the Criteria Maintenance screen to view your Non-Team Carts
2. Access Team Carts that someone else created: This procedure is used to view carts that another Requisitioner made accessible as a Team Cart in which you are set up as a Procurement Substitute.

1. Viewing Your Own Team Carts
Click Show Quick Criteria Maintenance in the Last 7 Days query. The Last 7 Days query is the default shopping cart query.

When the Maintenance screen opens, make sure the Timeframe is correct for when the cart was created. And that the “Show Only My Team Carts” button is checked. Click Apply to run the query.

A list of carts will appear. Click the Hide Quick Criteria Maintenance button to better view the list.

If you want to view your Non-Team Carts, you must go back into the Criteria Maintenance and uncheck “Show Only My Team Carts” and then Apply.

2. Viewing Team Carts that Someone Else Created
While in your Shopping Cart Home Page, click the Team Carts query to view a cart created by another Requisitioner. Then click Refresh.

If the list does not update with what you need to view, Click Show Quick Criteria Maintenance to change the criteria used to show carts created by another Requisitioner

Change the data, click Apply, then close the screen by clicking Hide Quick Criteria Maintenance after the query runs.

After you apply the Query, all you need to do to the next time you come to Shopping Cart, is to Click Team Carts then Refresh.

Using Team CartsAfter you have created a list of your or others team carts, you can now check the Status, print the cart, or copy the cart to create a new one.
