CALL TO ORDER 10:00
APPROVAL OF AGENDA Lucie Smith (CHEL) motioned we approve, Elizabeth Alexander (LVCC) seconded,
and the Agenda was approved by unanimous consent.
APPROVAL OF THE OCTOBER 19, 2011 MINUTES Cheryl DeCovich (AUBN) motioned we approve, Lucie
Smith (CHEL) seconded, and the minutes were approved by unanimous consent.
TECHNICAL SERVICES (BDBS) REPORT
Jim Flury (TLN) passed out copies of the Technical Services Report, September 2011.
In October, BDBS added a total of 6,584 catalog records to the shared system base. Of these, 3,446 were
catalog records and 3,138 were full vendor records. Please note the number of full vendor records was
high this month due to the problem last month with receiving GPO records. They also corrected 365
records and deleted 253. A total of 399 items were cataloged for Waterford Schools. They answered 129
HelpDesk questions. Acquisitions invoiced a total of $53,326.25 to member libraries through Workflows
in October 2011.
Since record quality was good and the price is reasonable, Jim informed the committee that BDBS will be
continuing to utilize the services of the cataloging vendor Multicultural Books and Videos (MCBV) for
foreign language items that they cannot locate or create a MARC record for.
The BDBS totals for the TLN fiscal year October 1, 2010 through September 30, 2011 include:
- 51,033 total records added (39,310 catalog records + 11,723 full vendor records)
- 7,053 records corrected and 2,111 records deleted
- 3,926 items cataloged for Waterford Schools
- 11 items cataloged for White Pine Library Cooperative (note, the contract was terminated in Feb. 2011
with our transition from OCLC to SkyRiver)
- 712 HelpDesk questions answered
The OverDrive member libraries will soon number 38 and on October 6, 2011, the Redford Township
District Library hosted the first meeting of the new E-Content User’s Group. The purpose of the group is
to optimize operation of the e-content, downloadable materials delivery service. The E-Content User’s
Group will meet quarterly, with its next meeting scheduled for Thursday, January 19, 2012 at the
Waterford Township Public Library.
MAP will return as an on-line program next summer and TLN has requested proposals from several
vendors for management and scheduling software. Also, we may now delete our MAP barcodes as they
are finished compiling stats.
The library cooperative directors agree that both the Statewide Book Contract issued by TLN (due to
expire April 2012) and the Statewide AV Contract issued by the Suburban Library Cooperative (due to
expire September 2012) should be combined and assigned a common expiration date. ‘Thus, a Request
for Contract Extension will be issued to signees of the current Statewide Book Contract, asking them to
extend the current agreements until September 30, 2012. In summer 2012, a consolidated RFP covering
both books and audiovisual materials will be issued to all vendors, covering the period October 1, 2012
through September 30, 2015.’ A list of the different vendors and the percent discounts they currently

UNFINISHED BUSINESS- CATALOGING STANDARDS
Janna Williamson (TLN) was unable to attend as she was teaching a Linking Class at TLN.
Jim Flury (TLN) presented the proposed TLN Cataloging Standards/Guidelines that Janna had drafted
after discussion at our last meeting. In response to last month’s question ‘Do librarians want “d” records
(ages 14-17) still edited as adult (subject heading and call number) or as juvenile?’ committee members
reported their librarians do not usually consult the bibliographic record for this information and saw no
need to continue the modification. It was stated that formerly more reliance was placed on the catalog
and now there is a greater tendency to access this information on-line.
Jim Flury (TLN) told us John Inman (TLN) has completed having the information from the 250 (edition)
field of the MARC record display on the ‘item information screen’ in e-Library. Two examples
demonstrating this were:
- Harry Potter and the Goblet of Fire [videorecording (DVD)] [full screen]
(Whereby [full screen] is pulled from the 250 field of the MARC record)
- Harry Potter and The Goblet of Fire [sound recording (CD)] [library edition].
(Whereby [library edition] is pulled from the 250 field of the MARC record)
He also brought a document Examples of current edits and proposed new edits to bibliographic records
that Janna compiled listing records to search in the test server which would demonstrate how the
proposed changes in the TLN Cataloging Standards/Guidelines documentation would affect the
bibliographic records. Using the test server, http://ibtest.tln.lib.mi.us, and a subject/keyword search for
“edit example” we were able to review and compare a few records.
It was decided we are ready to present the proposed changes to the edits in the bibliographic records to
SASUG. The changes proposed affect the 008 (fixed field, audience), 092 (call number), and 099 (local,
free text call number) fields of the MARC record. It was also emphasized that despite these proposed
changes regarding edits/modifications to these call number fields, that EVERY record in the shared
system would still contain a call number. Jim Flury (TLN) estimates that eliminating modifications to
these fields could save BDBS as much as 800 hours a year which could be better utilized on other tasks.
It was decided to demonstrate to SASUG that cessation of these edits would have no impact on the
display in e-Library.
As SASUG is scheduled to meet in Novi in January, Wendy Teagan (NOVI) moved to take changes to
the TLN Cataloging Standards/Guidelines as proposed to the January 2012 SASUG meeting. It was
seconded by Elizabeth Alexander (LVCC). Motion passed unanimously.
NEW BUSINESS Meeting Schedule- would it help to meet every other month?
It was discussed and suggested it could help from time to time, though it could drag out changes. For
example, when items are presented to SASUG they are introduced one month but not voted on until the
next. If we do not meet every month this could cause added delay in implementing changes. We decided
to review necessity of monthly meetings on a case by case basis. Unless a new project presents itself in
the immediate future, the December meeting will be canceled and our next meeting will be January 18,
2012.
The members wished Cheryl DeCovich a happy retirement and thanked her for her service and
dedication to the Technical Services Committee. She has been a member since it first began in
September 2008 and served as committee Chair for the 2010/2011 year. Her energy and enthusiasm
has been a valuable asset to the committee and she will be missed.
